E10 - Import Student data and class lists from another .etz file

Preamble

It is possible to import student data and class lists from one .etz file into another. This is very helpful where the timetabler has been working on a secondary file while class list management continued to occur in a previous file.

Scenario 1:
The timetabler has created a copy of the Semester 1 file and begins to work on changes to the timetable for semester 2. During this time, class list management continues to occur in the Semester 1 file. At some point, the Semester 2 file will become the live/working file, and all student data and class lists must be brought over into the Semester 2 file.


Scenario 2:
Late in the current year the timetabler is busy building the timetable for the following year. The lines have been generated and a file created called 'Class lists', which is the file that is used to manage student data and class lists. Meanwhile, the timetabler is  experimenting with the timetable construction and  creating lots of different etz files. At some point,  they will arrive at a Master file, and all student data and class lists must be brought over into the Master file.

Alert
E10 will import and overwrite the student data details into the new file, so it is important that one file only has the correct student information. That is, the data is not merged, it is overwritten.

New and departed students
Any new / additional students will be imported, and any exited students will be marked as exited.

Import from another E10 .etz file
  1. Navigate to File > Import from... > Edval .etz file > Class lists.


  1. Locate the saved .etz file from which you want to import the class lists and select 'Open'.


  1. Select one or more year levels of the class lists that you want to import. You may also opt to import buddy / mischievous pairs.


  • E10 will display a successful import message.



Check the imported data



  1. Navigate to Students > Student data and check the imported data.
If the import has not occurred as expected, or errors are discovered at this point, the file may be 'reverted to saved file', the spreadsheet fixed, and imported again.

Alert
If there are any class codes in the .etz file that you are importing from, that do not exist in the .etz file that you are importing to, E10 will create the class in the appropriate class data screen. However, it will not know anything about the new class/s, so all other fields in the class data screen must be updated manually eg Name, Line, Teacher etc
