Preamble
Elective datasets can be set up to collect student preferences and generate lines for single year levels only, or for several years all together (known as a multi-year dataset). When generating several year levels all together, students can be permitted to select courses from their own year level only, or courses from other year levels.
This document highlights the particular set up requirements of a multi-year dataset as it relates to the scenario below.
Throughout the process described below, all other general line generation requirements must be entered, such as deciding on the number of classes of each courses that will run, Coreq, Vlink and Hlink requirements, entering Fees etc, and these have been fully explained in other Knowledge Base articles.
Scenario
School wishes to run composite elective classes for students in Yrs 9 and 10. All students across the two year levels are allowed to choose any elective subject offered. Students from both Yr9 and Yr10 will be sitting in the same room with one teacher, who will have one roll to mark.
In this example, the composite elective classes will be stored in Class data F6 in an 'umbrella' Year level called 'Yr9+10'. The classes will have a class code prefix of ‘9+10’ eg 9+10ART.A, 9+10TEC.A
Set up a multi-year dataset
- In File > Year levels, create an umbrella year level called Yr9+10.
- In Lines > Datasets, define a dataset which includes both Yr10 and Yr9 in the Year Levels field.
Set up courses
In Lines > Elective data > Courses:
1. Select the dataset from the dropdown.2. Select the umbrella year level Yr9+10 from the dropdown.3. Add all the courses that are to be offered.4. In the Years column, the first entry should be the year level that the classes will be created in, then the year levels of the students who may select the subject.
The order of the year levels in the Years column is important:
If we see ' 10' in the Years column:- students in year 10 may select the course- classes will be created in the Yr10 Class data F6 screen. If we see ' 9' in the Years column:- students in year 9 may select the course- classes will be created in the Yr9 Class data F6 screen. If we see ' 10,9' in the Years column:- students in both years 10 and 9 may select the course- classes will be created in the Yr 10 Class data F6 screen. If we see ' 9+10,10,9' in the Years column:- students in both years 10 and 9 may select the course- classes will be created in the Yr9+10 Class data F6 screen.
Enter rules, if required
Navigate to Lines > Elective data > Courses > Action bar > Rules and Constraints

Note that separate rules need to be entered for each year level. ie, in both the Lines > Elective data > Yr10 screen, and also in the Lines > Elective data > Yr9 screen, as different rules may be applicable to the students in each year level, even though we are generating the lines for both years.
eg, Year 9 students may have to select both an Art course and a Tech course, whereas Year 10 students may not have this restriction.
Collect student elective preferences
If using Edval Choice:
- Navigate to Lines > Edval Choice
- Select the Yr10 from the Year level dropdown
- Configure and sync the webform for Yr10
- Change the Year level dropdown to Yr9
- Configure and sync the webform for Yr9
- Students submit preferences
- Navigate to Lines > Elective data > Students > Yr 10
- From the Action bar, select Download student choices from Edval Choice
- Select Yr9 and Download student choices from Edval Choice
If not using Edval Choice, enter student preferences manually or import the data from a spreadsheet.
Generate the lines
In Lines > Elective data > Courses > Action bar > Generate lines
Create classes
Classes will be created and populated with students in the Classes > Class data F6 screens. The classes will be created in the year level that is listed first in the Lines > Elective data > Courses > Years column .
eg, in the image above, the classes ART, COM and MUS will be created in the 9+10 year level, as 9+10 appears first in the Years field. 10JAP will be created in the Year 10 year level class data screen, and 9JAP will be created in the Year 9 year level class data screen.

Navigate to Classes > Class data F6. Select the Yr9+10 year level. The class lists will contain students from both Yr9 and Yr10.
