E10 - NESA Export guide for NSW schools

Preamble

This document is designed for NSW schools.
While many schools generate the NESA report from an alternate system, E10 has the capability to produce a student programs .csv export that can be used for NESA reporting.

There are three steps in the E10 NESA export process:
  1. Enter NESA course codes for each class in the E10 .etz file
  2. Enter StatewideIDs (NESA Student Number) for each student who is to be included in the export/import
  3. Perform the NESA export from E10 to produce a file titled NESA import.csv
Notes Note: Only students in E10 with a ‘StatewideID’ entered in Students > Student data (F8) will be included in the export. 

Steps

1. Enter a NESA course code in E10 for each class

Classes > Class data (F6) > View > NESA code



  1. Refer to Schools Online for the course codes. It is the school’s responsibility to ensure codes are correct.
  2. Ensure the correct year level NESA code is entered.
  3. Pay particular attention to Mathematics, English Extension and Music courses
  4. Enter n/a for classes that are not to be included in the NESA export, such as Assembly, Home Group, Study. Any such class will be omitted from the NESA import.csv file.

  1. If the NESA code column is left blank, then the class will not export.
    Entering n/a will prevent the following message from appearing in the popup:
NESA codes can be entered either:
  1. Manually: type NESA codes directly into the NESA code cells in Classes > Class data > NESA code (as shown in the image above), or
  2. Importing into Class data (F6)


Import NESA codes into Class data

  1. Create a .csv or Excel file that contains two columns:  Class codes (from .etz) and NESA codes. Note that extra columns can exist, such as subject name for ease of tracking, but are not essential.
    Tip: The Class data (F6) screen can be easily taken to Excel to create the list of class codes by hitting the Excel icon (top-left). Columns not needed can then be easily deleted and the NESA codes can be added to the Excel import file.


  2. Go to File > Import data > Class data > Select the file that contains both the class codes and the NESA codes > Match the NESA code column heading > GO > select 'Merge’.


  3. Check Classes > Class data to see if the import was successful.

2. Enter a 'StatewideID' (NESA Student Number) for each student

Students > Student data (F8) > View options > StatewideID

Warning The E10 StatewideID field (NESA Student Number) must be populated for the student to be included in the NESA export. 

StatewideIDs (NESA numbers) can be entered either:
  1. Manually – type NESA Student Number directly into the Statewide ID cells in Students > Students data (as image above), or
  2. Importing into Student data (F8)


Import into Student data

  1. Create a csv or Excel file that contains two columns: Student codes and the StatewideID codes.
    This data is often readily exportable from a third party system.
    Tip: The Student data screen can be easily taken to Excel to create the list of students by hitting the Excel icon (top-left). Columns not needed can then be easily deleted and the Statewide IDs can be added to the Excel import file.

  2. Go to File > Import data > Student data > All year levels/One year level (depending if you have students from multiple year levels in one file or not) > Select the import file > Match the StatewideID column heading > GO > select 'Merge’.


  3. Check Students > Student data (F8) if the import was successful.


3. Perform the NESA export to produce a file titled NESA import.csv

Reports > Exports > NESA (NSW) export


The NESA export file is saved to your computer in the E10 Export folder. A popup will appear showing any errors and the file location; take note of where the exported file is saved.

The file will have the School’s student Code, their StatewideID (NESA Student code) and NESA official course codes for all courses the students are studying.
Info Remember, the export will only contain the subjects for students who have a StatewideID AND are enrolled in courses that have NESA course code entered in the appropriate column
