The Purpose of this Document
This document is intended to provide a quick explanation of how to merge multiple classes in Timetable Daily when a large number of students are absent This will enable the release of staff for other activities or covers, rather than having each teacher in front of very small classes.
This method is particularly useful for schools using Compass to allow changed timetables to be displayed and rolls for the merged classes to be marked.
Merging Classes by Creating an Event
Set up an Event in each period with the teaching staff you wish to release.
In this example, we are merging four Maths Classes into one (7MAT.1, 7MAT.2, 7MAT.4 into 7MAT.3), releasing Beasley, Carter and Lawrence.
In the Covers screen, merge the classes with the remaining (7MAT.3) Maths class
The released staff will then show in Daily as having a cancelled class and be available for an in-lieu in other periods if required. They will not be available in the same period as they will be on the event.
If the staff member is required to cover a class in the same period as the merged classes, rather than including the teacher in the Event, cover that class using the ‘Lesson Swap’ function by selecting the teacher from the Unavailable tab . Their original class will then appear on the Covers screen for merging.
Notes
The one event in each period can be used across multiple year levels and should include all staff to be released (for that period). It is important to create separate events for each period in order to attach teachers only for that period.
In the Covers screen you can choose the appropriate class for each to be merged with.
In the example, we merged 4 Maths into 1 class. However, you can merge any classes. For example, from the one Event, you could merge three English classes into one, two Humanities classes into one and create other groupings in or across year levels.The merged classes will synchronise to your SIS and be displayed on relevant teacher and student schedules.
