Timetable Daily: Lesson Merge

Modified on Thu, 14 Aug at 12:59 AM

Timetable Daily gives the option of merging classes that require cover. This feature enables one teacher or CRT to cover the merged classes, offering savings to the school. There are two ways to do this in Timetable Daily.
  1. Covers tab: merging classes that appear for cover due to teacher absence/event attendance
  2. Events tab: merging classes that do not appear for cover due to teacher absence/event attendance

1. Lesson merge in the Covers tab

  • In the Covers tab, select the options icon of the class requiring a merge

  • Select 'Merge'

  • The Merge classes options will appear. The class details display, showing how many students are in the class.
The classes suggested for merging appear down the left hand side. After selecting one of these classes to merge with, the question on the right hand side asks which room should be used for these merged classes and includes room capacity information ('desks').
NB: This requires that the Rooms > Room data > Size data has been entered in the .etz timetable file by the timetabler. A room/class won't appear for merging if the 'capacity' of the room to be merged in is not accommodating the class size seeking to merge.

Once the class and the room have been selected, the screen will close automatically.
The Covers tab now displays the class as being merged.

To unmerge classes use the options menu (three dots) and select 'Undecided'.

2. Lesson merge in the Events tab

Sometimes school events are set up that include students from only part of year group or class. It is common to merge the remaining students into combined classes.
  • Go to the Events tab
  • Select ‘Merge/Cancel classes’ from the ‘Actions’ menu.

A list of classes affected by the day's events appear.
The eight columns display the following information:
  1. Class: Class name
  2. Subject: Subject title
  3. Period: the period the lesson occurs
  4. Teacher: the teacher normally taking that class
  5. Room: the assigned room
  6. Normally: the number of students normally in the class
  7. Now: The number of students actually in the class, after removing the students who are attending the event
  8. # who miss: the number of students who are missing the class, due to attending the event

  • Select a class to merge and select ‘Merge/Cancel’. A class list will appear showing which students are present and which are on the event. Select ‘Merge class’.

  • Select the class to merge with and the room in which they will reside.

Repeat for each class to be merged for the day.

Merged classes will appear on the covers page. To unmerge the classes, select 'Undecided' from the options menu.
