TABLE OF CONTENTS
The Cover options tab allows the Daily Organiser to set some parameters and rules for their Timetable Daily setup. Go to Daily > Settings and navigate to the Cover options tab.
Select the required settings and click save to complete the changes.
Selecting 'Reset defaults' will return the settings to their default state.

Cover Options
Accounting period
Many schools allocate extras according to a quota system, meaning that there is a maximum number of extras a teacher can take within a certain period (in-lieus and underload are exempt from the quota). You have a choice of 6 extras accounting periods': Week, Fortnight, Cycle, Term, Semester or Year. If you choose 'term', then note that terms are automatically identified as the period between week-long holidays.
Note 1: For schools using the Work allocation (previously 480) index accounting method, the accounting period will not be editable as it is not relevant for that accounting method.
Note 2: There is a difference between 'Fortnight' and 'Cycle' for schools with a 10-day cycle. 'Cycle' refers to the cycle of 10 school days and does not include holidays or weekends, whereas 'Fortnight' refers to 14 calendar days. Selecting 'Fortnight' as the accounting period means holidays and weekends are included in the accounting period and this may give different results when counting extras, as a cycle of 10 school days may not coincide with the 14 days of a fortnight.
Leave this blank to disable the quota system. Otherwise, any teacher who reaches this quota within any accounting period will be considered 'unavailable' for further covers. This means that they won't appear as an option, except in the 'Unavailable' tab. If you wish to override the quota in specific cases, you need to select them from the 'Unavailable' tab.
Split covers longer than or equal to 60 mins into two covers?
This option creates two separate cover cells for each long lesson, being one that is equal to or greater than an hour. This may allow easier management of covers, offering more teacher options for a class.
Staff who are overloaded in their cyclical teaching duties are generally regarded as having taken the equivalent number of extras. For example, a teacher with two periods over their maximum load on their normal timetable should not be given extras if possible, until other teachers (who are not overloaded) have done two extras and are thus on an equal footing (load wise) with the overloaded teacher. Some schools consider overloads entirely separately to extras, and do not want a teacher given credit in extras for being overloaded. It may be the school compensates in other ways for this extra work and does not want to do load adjustments with extras. Overloads counted as extras do not appear on covers reports as they are considered to be a load adjustment rather than extras. They are counted per cycle, even if the accounting period is different. For example, a person who is 2 overload, will be credited with 10 extras per 10 week term (for a two week cycle) or 20 extras per term for a one week cycle. If a school does not want to count overloads as extras, this option should not be selected.
Had cancel today : For cancelled period ONLY.
This option means an in-lieu can only be given in the period the class was cancelled. Selecting this option only shows teachers in the ‘Had Cancel Today’ tab in the Alternatives panel who have had a class cancelled in the selected period.
Show rooms when covering?
This option displays the room each class is in. It is selected by default.
Classes with multiple teachers need a cover when any is unavailable
When this option is selected, classes with multiple teachers will no longer be automatically flagged as ‘No Cover’ when one of teachers is absent. Selecting this option means when one of teachers is absent, the school covers the absent teacher. If this option is not selected and the class appears on the covers page as 'No cover', a covering teacher can still be assigned by selecting the cell displaying 'No cover'. In this case a message will appear informing the Daily organiser that there is a second teacher on the class and the name of that teacher will be displayed for reference.
Meadowbanks will keep composite classes running
When this option is selected, classes with multiple teachers will no longer be automatically flagged as ‘No Cover’ when one of teachers is absent. Selecting this option means when one of teachers is absent, the school covers the absent teacher. If this option is not selected and the class appears on the covers page as 'No cover', a covering teacher can still be assigned by selecting the cell displaying 'No cover'. In this case a message will appear informing the Daily organiser that there is a second teacher on the class and the name of that teacher will be displayed for reference.
Cancellation events will keep composite classes running
If checked, Cancellation events will not cancel classes if they include students from year levels not on the event. In addition to this checkbox, students for the event must be selected from the 'Whole Year level', not from the root Year level. If unchecked, all classes from the selected year level will be cancelled, even those with students from other year levels.
Enforce cancellation of classes without students, if there are no classes remaining worth running
This setting, when selected, will automatically cancel all class activities without students on any day where no classes that normally have students are running. Note that duties, which are not considered to be classes, will not be cancelled automatically and will need to be cancelled manually. By default, this setting is not selected and should only be selected by schools that have classes containing students.
'No Cover' classes?
Select classes from the respective year levels that do not require covering when the teacher is absent. These classes will then be automatically assigned as 'No cover'. In the 'Meetings' Year level, ensure that duties are unchecked if they do require cover.
'Class to library' label
Adding a new label here will change the wording of the 'Class to library' option available from the options menu on the Covers page. In addition, the label can be changed for each individual cover when that option is selected.
