Preamble
Schools sometimes wish to print or email student submission forms, either selected students only or all students. Forms may be emailed as PDF documents to all or selected students, and / or to any email address entered by the user.
Select form to print or email
- Navigate to Choice > Forms
- From the Form status section on the right, select one of the following options:
- All: all sync'd forms
- Open: only the open Choice forms
- Closed: only the closed Choice forms
- Next to the relevant form, select 'List of submitted forms'.
Actions
Filter By Name: Enter a particular student's name to find their selection.
Filter by year: Select to display or remove certain years from view (applicable in multi-year datasets)
Print forms: Print all or selected submitted forms in the same view as students are able to print.
Email forms: Email all or selected submissions in the same view as students are able to email.
Print Forms
Individual student print
- Enter the student name, or a minimum of three letters, into the Filter By Name field, press Enter.
- Tick the check box to select the student.
- Select Print forms > Print Selected Forms
The print dialog box will appear to guide the user to create a PDF document, ready for printing.
Bulk student print
- 'Filter by year' if multiple years display and you only want to print a particular year level.
- Select Print forms > Print All Forms
The print dialog box will appear to guide the user to create a PDF document, ready for printing.
One PDF will be created containing all submission forms. Student submission forms will display one page per student, and listed alphabetically.
Email Forms
- Select Email forms > Email all forms or Email selected forms (as for printing).
- Select whether to email forms to Students and/or to other email addresses, eg Year level coordinator, Principal etc. More than one email address may be entered.
If emailing to students, the correct email addresses must exist in the .etz timetable file. - Select the 'Send email' button.
Email log
If the Students were selected, a csv report will be emailed to the user who actioned the Email forms function. The report lists the students involved along with their stored email addresses. It is useful for finding any students who do not have an email address in the system.
An email log is also created in Choice: Email History This log will show some details such as the sender, recipient, date delivered and its status. This is useful to check if a student is not receiving the email.
