E10 - How to: Set up Teacher data when 2 teachers jobshare with more than 1.0 FTE

Preamble


A true job share is when two part-timers can teach the same subjects and together are equivalent to one full-time teacher, i.e. their total combined load is 1.0.

Scenario:


The job share teachers both have 0.6 load with one overlapping day.  Both are available on Wednesday. One is unavailable on Monday, Tuesday and the other is unavailable on Thursday, Friday.  

Make sure to consider any allowances that may apply.


Four suggestions


Of the following suggestions, Solution 1 is preferred.


SOLUTION 1

Aim to avoid splits, so treat this as:

1 x FTE 1.0 - Available 5 days

and

1 x FTE 0.2 (only available Wednesdays)

Teachers > Teacher data (F2)


Teachers > Staff allocations (F4) Then split some periods to the Wednesday person, based on where the lessons lie on other days.


(This could be set up as two part-timers each in 3 days (2 x 0.6 FTE) - but it is best to work whole teacher 'and a bit' resolution.)


Once constructed, split off to the part-timers accordingly - noting on Wednesday staff should pick up periods of classes they already have more of than the other job-share person. You can do this in Teachers > Teacher master (by day) by dragging and dropping, or in the individual timetables Teachers > Timetables (F3) by pressing the letter 'T' on your keyboard.


Aim for equitable distribution of responsibility per class, i.e. of 6 classes, each teacher responsible for 3 classes - those 3 classes would have that teacher for the majority of lessons.


Or payoff with playground duty, sport, assembly supervision.


SOLUTION 2


Ignore the second part-timer, set the first one up as FTE 1.0, generate, see what's leftover, and then deal with it. A bit like Solution 1, but simpler, and allows the possibility of other teachers picking up the Wednesday extras.


SOLUTION 3


If there is a restriction on which classes they teach, set component sub-classes for each class - to accommodate the part-timers specifically. This is possibly a more technically superior solution, as there is more control, and the placement of lessons is governed to a degree by the staff who are in on each day. You still need to hard code the split ratio, but this approach allows you to set up two staff who each have three days availability.


SOLUTION 4


Set up as two part-timers each in 3 days (2 x 0.6 FTE), no sub-classes, then generate the timetable. This will create teacher clashes with unavailability. Do what you can, once you are done, work on allocating the clashes to the part-timers accordingly. They are both able to take Wednesday classes as per solution 3. Less requirement work, but more restrictions that are not 'really' restrictions. This solution creates more unavailability clashes, which will cause E10 to run longer as it will try to solve these clashes.


What about coding one person as 1.2 load?


This is not recommended.  It blocks flexibility for both staff to be on the same period which is what would usually happen if both work Wed. 


You need to have two teachers to manage Wednesdays properly.


Perhaps try a 1.2 and a 0.2 as two entities, and then fix it up later. 

  • A 1.2 is a bit more flexible as allows a super busy Wed and fewer splits to begin with. So although we might begin with 1.2 and 0.2, we in reality only have 1.2 to work with. 
  • A 1.2 as a person is flexible, and the 0.2 is an 'all day Wednesday as well' if need be, and can't clash with teacher 1.
