Timetable Daily: Cloning an Exam Block

There are times when an exam block needs to be replicated or moved to a new date range. This means re-creating manually added exams, removing and adding students to exams and re-generating the roster, which can be very time-consuming.  The ability to clone an exam block has been added which should reduce the time required to do all of the above mentioned manual tasks.


Cloning an Existing Exam Block

To clone an existing exam block, navigate to Daily > Exams and select the 'Clone' link at the end of the row for the exam block you wish to clone. You can only clone one exam block at a time.


This will open the following dialog:


Follow these steps to create the cloned exam block:

  1. The name of the exam schedule needs to be unique. A default name will appear, being the same as the original name with _CLONE appended.  Change the name as required, ensuring it remains unique.
  2. The start date will default to the current date. Change this to the new start date required. Change the end date and the publish date as required. Note that the exams in the cloned exam block will have the same names as the exams in the original exam block, therefore the dates cannot overlap with those of the original exam block. 
  3. Select the items to be cloned. Note the following:
    a) If nothing is selected, the exam block details will be replicated (with the new dates) but no other aspects of the exam block will be copied. The exams will be the set of exams that exist based on the latest sync from Tes Timetable. The students will be allocated to the exams based on their current allocations from the most recent sync from Tes Timetable. The schedule will not be replicated and will need regenerating. The supervision roster will not be replicated and will need regenerating.
    b) If 'Exams' only is selected, the exam block details (with the new dates) will be replicated and all of the exams will be replicated. The student exam enrolments will not be replicated and they will return to their original exam enrolments based on the latest sync from Tes timetable. The schedule will not be replicated and will need regenerating. The supervision roster will not be replicated and will need regenerating.
    c) If both 'Exams' and 'Students' are selected, the exam block details (with the new dates) will be replicated and all of the exams will be replicated. The student allocations will be replicated - all students will remain in the exams to which they were allocated in the original exam block. The schedule will be replicated.
    d) The supervision roster may be selected but note that if any of the teachers allocated to the supervision roster in the original exam block become unavailable on the new dates, they will be removed from the roster. There is no point in selecting the supervision roster to be cloned if you have not selected exams and students as well, as there will be no roster to clone.
  4. When you are ready to clone, select the 'Clone' button. This will add the new exam block to the table where it can be edited as usual.
