This new feature will provide the functionality to create customised emails and letters for sending exam schedules to students.
Document Templates
Before sending exam schedules to students, it is recommended that a customised template be created. There is a default template that can be used, however, a customised template will enable more information to be included.
To access exam document templates, go to Daily > Document templates
This will open the following window where the default Student Exam Schedule template is listed. This template can be used for both emails and letters.
Cloning a Default Template
To customise the default template, select the 'Clone' link at the end of the row to open up a copy of the template.
This template has the following information and merge fields included.
To edit the template, simply click in the body of the template to add information or additional merge fields.
Selecting the 'Merge field' button will display the available merge fields as shown below. Click on the required merge field to add it to the template.
There are various formatting tools available similar, to Microsoft Word or Google Docs, which can be used to customise the template.
Once the template has been finalised, if the same template is going to be used for letters as well as emails, select the 'Copy to letter' button.
Finally, select the 'Save and Exit' button to complete the process.
Creating a New Template
To create a new template from scratch, rather than cloning an existing one, select the 'Create template' button in the Action panel on the right hand side of the Document Template screen. This will open a blank template form. Give the template an appropriate name. The template type is 'Exam'.
Note that there are two tabs, one for Email and one for Letter. It is recommended that the template be created as an email template then copied to the letter tab using the 'Copy to letter' button.
Create the template by typing in the body and adding the necessary merge fields.
Click 'Save and exit' to complete the template.
Emailing Exam Schedules to Students
To email an exam schedule to students using the default template or a cloned template, go to Daily > Exams.
Select the 'Students' link on the required exam block
Select the students to email by expanding the tree in the 'Select students' panel, then click on the 'Email' button.
Select the required template from the dropdown list and then select 'Send'.
Printing Schedules in Colour
NOTE: If you wish to print the full schedule or the individual student schedules in colour, as per the screen, you can do this by selecting the schedules to be printed and using CRTL-P to bring up the print dialog.
