E10 - Managing rotated sport classes created from a Sport type dataset in a file with multiple rotations

Preamble

Some schools have 2 or more rotations set up in their .etz file and they want students to choose a new sport option for each rotation / term / semester, using the 'First come first served' feature in individual Sport type datasets. They require the sport classes (containing students from several year levels) of all rotations / terms / semesters to be consolidated in the same SPT year level.

Please read the Knowledge Base document E10 - Sport selections using the Sport type dataset before you attempt managing rotated sport classes using a Sport type dataset. When using the 'First come first served' feature, familiarise yourself with the warnings and notices flagged in this document.

Scenario - etz file with four Rotations

Students have selected their current sport option using the 'First come first served' feature in a sport type dataset and the multi year classes were created in the SPT year level. Towards the end of the term, while the current term's sport classes are still being synced to their third party system, the school requires the students to select their sport option for the next term. They need the SPT year level to hold the current term and the new term's sport classes, without compromising the integrity of any current sport classes in class data. This would be repeated each term until all four rotations' sport classes are be consolidated in the SPT year level in class data with their individual rotations (1/2/3/4) indicated in the 'Rot' column. Each term / rotation's sport classes must be staffed, roomed and placed on the timetable. 

Steps for Term 2 sport selection 

Step 1: Lines > Datasets.
Create a new Sport type dataset for the Term 2 sport selection e.g. Sport Term 2. Include all the year levels of students making Term 2 sport selections and the SPT year level


Step 2: Lines > Elective data > Courses.
  1. Filter by the sport dataset, e.g. Sport Term 2, and select the SPT year level to import the Term 2 sport options from a spreadsheet or enter them manually.
  2. Select the Parameters icon in the action bar on the right hand side of the courses screen. Enter the required parameters to prevent any class data of Term 1 from being overwritten. (See note below.)

Note: If your Term 1 sport classes' line entry in class data is Line S (letter), enter 1 (number) in the 'Letter or number of first line' field in the Parameters slide out for the Term 2 dataset. This will prevent the Term 1 sport classes on Line S in the SPT year level in class data from being overwritten with the new Term 2 sport classes on Line 1.  

Step 3:
 Lines > Edval Choice > Configure forms. 
Filter by the sport dataset e.g. Sport Term 2 and select each year level participating in the sport selection, to configure their forms individually. 

Step 4: Lines > Edval Choice > Sync.
Enter the desired settings and sync each year level's form individually.

Step 5:  Lines > Edval Choice > Publish.
Test each year level's Choice form online before issuing / communicating any WebCodes to students.

Step 6: Communicate WebCodes to students.
  1. Student WebCodes can be emailed from the .etz file See: E10 - Choice: Publish - Email or export student WebCodes.
  2. Schools using Choice may want to communicate to students during the Subject selection process. This can be done via email or by printing letters. See: Choice: Communicate to students via Email or Printed letter.
  3. Alternatively, student WebCodes can be exported directly from the etz timetable file and also in csv format from the online Edval webserver for a mail merge. See: Choice: Export student WebCodes.

Step 7: Students log in to my.edval.education with their WebCodes.
Students select their sport for Term 2 and submit their forms online. 

Step 8: Lines > Edval Choice > Sync.
Once the sport selection period ends,  each year level's form can be closed and synced. 

Step 9: Lines > Elective data > Students.
From the action bar on the right hand side of the 'Students' screen, select the 'Download student choices from Timetable Choice' icon to download the students' sport preferences for each year level individually.

Steps for Term 2's sport class creation

Step 1: Classes > Class data > SPT year level.
  1. Enter 1 in the Rot (rotation) column for all the Term 1 sport classes on Line S. 


Step 2: Lines > Elective data > Courses. Filter by dataset: Sport Term 2 and select the SPT year level.
  1. Update the #C number of classes required for each Term 2 sport. 
  2. Select the 'Create classes' icon from the action bar on the right to create the Term 2 sport classes. 
  3. Selecting 'Prefix class codes with year-level (if not there)' will prefix each sport option with the year level displayed first in the Elective data > Courses > Years field and add a class identifier to the Term 2 class codes. 
  4. The Term 2 sport classes will be created and populated in class data, in the home year level, SPT, displayed first in each sport option's Years field in Elective data > Courses. 
Step 3: Navigate to Classes > Class data > Filtered by the SPT year level.
  1. The newly created Term 2 sport classes, on Line 1 will be populated in this class data screen with the current Term 1 sport classes on Line S. Check and update the Term 2 class data. 

  1. Class codes: If you selected 'Prefix class code with year-level (if not there)', each sport class code will have the SPT year level as a prefix, the Sport option code, and a class number identifier, e.g.  SPTRGB1. E10 will add an @ as a class identifier to the class code if the same sport option code has been used in Term 1. For example, SPTDVG.1@ can be changed to SPTDVG2. Change the colour of the code as required.
  2. Faculty: Assign all the Term 2 sport classes to the required faculty, e.g. Sport. 
  3. Subject: The subject will populate as per the Name entry from the Elective data > Courses screen of the sport dataset. 
  4. #Per: E10 defaults the #Per entry as offline periods e.g. 0+2, since many schools have their whole school sport periods set as offline in their Grid structure. Change the #Per to suit your school's requirements.
  5. Spread: E10 created classes with a default spread of Easy, change the spread to Anything. 
  6. Periods; If sport runs in particular periods, hard code the sport classes to the required periods, e.g. Fri5-6. This place the new Term 2 classes on the timetable. 
  7. Rot and Line: Enter 2 in the Rot (Rotation) column for all the Term 2 sport classes then change the Line 1 entry to Line S. 
  8. Teacher pref: The sport classes are created without any teacher considerations. Select teacher preferences via Teachers > Subject teachers for each sport option. Assign teachers as required in Teachers > Staff allocations (F4). 
  9. Room pref: The sport classes are created without any room considerations. Select room preference via Rooms > Subject rooms for each sport option. Assign rooms as required in Rooms > Room allocations.

Repeat all the steps for the Term 3 and Term 4 sport selection and class creation for Rotation 3 and Rotation 4.
