E10 - How to: Set up Sport classes (multi year, vertical)

Preamble

Sport is handled differently by each school.  Some schools may run a combined year level sport one afternoon per week, whereas other schools may run sport activities at an individual year level.

The main questions to consider are:

  • Does sport occur at the same time on the same day for all/majority of students in the school?
  • Is the sport period considered to be a normal teaching period or an offline period? 

Issues that may affect this are:

  • the number of sport classes
  • how rolls are marked
  • whether staff are expected to supervise sport as part of their employment contract
  • whether senior (extension) classes are conducted at the same time as junior students go to sport.

Setup > Grid Structure

If the entire school is doing the same thing, or something similar together then the sport periods should be coded as off-grid (yellow) e.g. whole school sport.

If years 7-10 do sport, while years 11 and 12 do Extension classes or go home early, then set up those periods as teaching (white) periods.

Separate year level to hold sport classes

If the sport classes are vertical, with students from different year levels attending the same sport activity, these classes can be created in a separate year level (SPT). 

  1. Define the new year level SPT in Setup > Year levels.
  2. Create the classes in Classes > Class Data (F6) for year level SPT.

Each state/region will have different requirements.  Sport often occurs every week for a double period and not every teacher supervises a sport activity. 
In this example, in a fortnightly cycle, the 4 periods of sport may only count as 3 periods towards a teacher’s load, so define #Per = 4(3).  


Academic year level

If the periods when sport occurs are normal teaching periods on the grid, then each academic year level (7, 8, …, 10) must have a place holder class, set up on a line (usually S for sport) and have the TeacherPref and RoomPref set to None.  There will be no students in this place holder class, as they will be enrolled in the relevant sport classes in the SPT year level.  This place holder class ensures a correct year structure (CTRL-L).


If the periods when sport occurs have been defined as off-grid (yellow) in Grid structure, there is no need for a place holder class in each academic year level. 

The sport choices can be collected using Choice.
