E10 - Synchronisation to Wonde via Direct Connection

Preamble

Timetabling data that exists in Timetable files is usually sent on to one or more other non-Tes systems, such as student learning management systems, reporting systems, administration systems, and many more. The Tes integration team works with other systems to make sure that the data required to be sent is in the correct format.
This document can be referenced for:
  1. New school file set up
  2. Synchronisation processes
  3. Synchronisation troubleshooting

Schools often choose to use Wonde when Tes Timetable doesn’t offer a direct integration with their preferred MIS/SIS admin systems. Before setting up Wonde, please check whether our product already supports direct syncing with your school’s admin system.

It’s important to note that while our current Wonde integration is two‑way, allowing data to be pulled into the Timetable file and pushed back to Wonde, Wonde does not send any timetable data back to your school’s MIS/SIS admin system. Schools typically use the Wonde integration when they want to download data into the Timetable file or sync non‑timetable data back to Wonde for use by other connected applications.

Note: Wonde is not currently integrated with Compass in Australia.


The following information has been provided by the Wonde team and was correct at the time of publication. Please check the Wonde documentation for any changes to the process. Please contact them for any support required in the set up in this system, as Tes consultants are not able to advise.
Make sure that your region in 'Setup > School info > Admin' is set to your correct region and not 'Unknown' or 'Other'.
The sync system may not appear in sync drop-down if the incorrect region is selected.


Type of sync

This sync is performed by a 'LISS' sync, which is a sync that sends and receives data at the push of a button with no need to manually upload data into the other system.


Which data is sent to the other system?

Data compatibility between the TES Timetable file-Wonde

The following is supported:

  1. Composite classes with teachers - supported, but cannot specify the composite or clash with other parties.
  2. Composite classes with rooms - supported, but cannot specify a composite or clash with other parties.
  3. Meetings - Goes through as a class with a single teacher attached. Multi-teacher is not supported at this time.

The following is not supported:

  1. 2 teachers on one lesson at the same time
  2. 2 rooms for one lesson at the same time
  3. Duties - Goes through as a class with a single teacher attached.
  4. Study periods - Goes through as a class with a single teacher attached.
  5. Rostered time off - Tes timetable doesn't send
  6. Day names not tested:

Steps to Synchronise data

Step 1: Configure the Wonde sync in the Timetable file

  1. Go to File > Synchronise > Configure

  2. Select the ‘Sync’ sub-tab

  3. Click the '+' and select "Wonde" from the dropdown

Multiple systems can be set up to sync. It is common to have both the Edval webserver and the school's learning management system configured, along with any other systems the school wishes to regularly sync with.
  1. Go to the ‘Connection’ sub-tab

  2. Ensure that “Wonde” is selected in the top-right corner

  3. Input your credentialsWonde will provide you with the Wonde Server URL, Username, Password and School code.


  1. Proxy credentials are not usually required. Please see your school network administrator if a proxy message appears 
    after testing your connection.

  2. Go to the 'Other' tab and enter your preferences.

This will send only the timetable and class membership data to School Bytes each time you save the file

Exclude Yard duties

When ticked, Yard duties will be ignored for syncing purposes

Accept StatewideID's that are sent to Timetable (Recommended)Generally, the Timetable file will obtain Statewide IDs
from the external school information/admin system (SIS), since this is regarded as the source of truth for this field. 
However, some users want this field for different purposes. In NSW, for example, some prefer to have the student code 
field for the 'ERN' number, but the Statewide ID field for the NSW Board of Studies needs a registration number. If so, you 
may want to untick this, and retain your BOS number in the Statewide ID field

Which years?

This option allows you to select the specific year levels to send to School Bytes.

Please leave all of the year levels un-ticked if you want to send everything.

Note. This function will only appear if the timetable file is a multi-grid.



Step 2: Perform the sync

Basic Sync

Basic sync is for general syncing. A basic sync allows you to download students from Wonde and publish classes, class lists and timetable to Wonde. To perform a basic sync:

  1. Go to File > Synchronise > Sync Now, and select the ‘Basic’ sub-tab

  2. Ensure “Wonde” is selected from the dropdown in the top-right corner

  3. Input the date range you wish to update the Wonde in and select the rotation you wish to sync

  4. Click “Go” to sync


Advanced Sync

Advanced sync is used to publish specific parts of your data to Wonde. An advanced sync also allows you to download rooms, students and teachers from Wonde, and publish bell times, classes, class lists and timetable to Wonde.

To perform an advanced sync:

  1. Go to File > Synchronise > Sync Now, and select the ‘Advanced’ sub-tab

  2. Ensure “Wonde” is selected from the dropdown in the top-right corner

  3. Select which data you wish to sync with Wonde

  4. Input the date range you wish to update the Wonde data in, and select the rotation you wish to sync

  5. Create Support Log File. This is usually required by Tes support to check the data validation

  6. Click “Go” to sync



Create support log file: Occasionally, Tes specialists may ask you to perform a sync and tick this box, which will create a text file in the same location as the timetable file. This file can be sent to Tes to help with troubleshooting.
