Timetable Interviews: Event set up - Rooms

For Face-to-face and Hybrid events, interviews may be held in one large space, such as the Hall, or in class rooms. Administrators can assign teachers to particular rooms or allow the 'Generate schedule' function to assign rooms (if using Timetabling mode).

 

Single room
If using a single room, such as a Hall, enter the room name. This name will appear in the interview schedules (email and print outs) for both teachers and families.

Multiple rooms
Rooms may be grouped into different areas depending (usually) on their location, so as to manage parent traffic and resources better. One room area will exist by default, but more can be added by selecting + Add area.

Click on the  Update rooms link for Area 1. This will open a room selector which contains data from the  Admin > Rooms screen as uploaded from the timetable file. Select the rooms to be added into this area, the maximum number of teachers that should be assigned to the room, and click ‘Add’.


It is important to group rooms into areas carefully, as these are considered by the algorithm when allocating interviews. If a family is given consecutive interview slots with teachers from different areas, Timetable Interviews will automatically insert an entire interview slot in between, considered as a ‘walking gap’. This way, the family can get from one interview location to another without having to compromise their ‘talk time’ with the teacher.

Online Events:
When the event type selected for an event is 'Online', only one option, 'No rooms required',  will be displayed and will be selected. This will hide the rooms field in the Teacher set up table.

Alert 


If the Interview event has already been set up online prior to adding/removing teachers, students and classes to the .etz file, a 'yellow warning icon' will appear on the Events page to alert the Administrator to a change in data received from the ETZ file post a sync from the ETZ file to the Edval web server. 

The Administrator will also receive an email of a change of data.

If the Administrator is confident that theses changes can be accepted, edit the Interview event, and select 'Yes, accept changes'.

Please make sure that you do not accept the changes if the Event status is Parents preference, Generate schedule and Open to book


Renaming a room or changing a room's code will not affect the ongoing event and will not result in the 'yellow warning icon'.
