E10 - Class list Manager

Preamble

Class list manager is a powerful visual tool that allows control over the class lists allocations. Class list manager can be used to place students in classes either manually or automatically, allowing visibility over the class lists. The classes may comprise of those on a line, those that are linked, or those that are set up as 'Group' (letter or number) classes in Class data.




Students > Class list manager

Depending on each year level's structure and the filtered view selected, the views may appear slightly differently in the user's file.

Filter: Year level

Select the Year level to display students from a desired year level.

Filter: Rotations

Select the Rotation to view or assign students to classes for all rotations, or a selected rotation.


  1. Filter: Group or Line


Letter group classes

Select 'Letter group' to view or assign students to classes that have been set up in Class data as letter group classes.
Each letter group heading displays the teacher codes assigned to teach the group's classes, if staffing has been done for the group classes. The number of students in each group will be shown.




Mixing bands

Select 'Mixing bands' to view or assign students to mixing bands.
Each group heading displays the mixing group rule and teacher codes assigned to teach the group's classes, if staffing has been done for the group classes. The number of students in each group will be listed.

Number group classes

Select 'Number group' to view or assign students to classes that have been set up in Class data as number group classes.
Each number group heading displays the teacher codes assigned to teach the group's classes, if staffing has been done for the group classes. The number of students in each group will be listed.




Line filter

Select the Line number (or Line letter) to view or assign students to Lined classes.
Each class on the line (only) will display. If staffing has been assigned, the teacher details will show. The number of students in each class will be listed.




Linked group classes

Classes are sometimes created in Class data with links to other classes. This may be so that students can be shuffled around between the classes.
The example below shows that there are two classes linked together: 8IND_A and 8LAN_A. In this school, some 8A students are manually removed from Indonesian and placed into an English Language class. The same situation applies to 8B. Both linked classes show so that the students can manually be moved to their appropriate class.
If these classes are based on Group Letters or Group Numbers, then the students can only be shuffled/moved if the Group Class List entry is not ticked for the relevant subjects. 




Combined year levels

There may be times when students must be assigned to classes outside of their own year level. For example, Year 10 students taking a Year 11 subject. In these instances, a special Year level, known as an 'Umbrella year', must be set up in File > Setup > Year levels to allow the combined information to show, eg Year 10 students and Year 11 classes.




Once the umbrella year level is set up, select the Umbrella Year level to view or assign students to classes. A warning will display if Edval recognises that there are students from one year level enrolled in classes from a different year level. In this case, select Move to view both years' students and classes.




Both year level's students will display:


Unassigned students

Any students not assigned to the filtered view will display in the left hand side Unassigned column. 


Assigning students to classes

Manually

  1. Drag a student and drop them into the class/group


To select multiple students at once: 
Edval works the same way as Windows Explorer for selecting multiple students. Hold down the Control key and click on all the students you wish to select. If you accidentally click the wrong student, click again to un-select.
To select a range of students, click on one end of the range, then hold down the Shift key and click on the student at the other end of the range.
To select the entire column, hit ctrl-A.  If you click anywhere without Control or Shift, the selection will be cleared.
When you move students, they are moved to the bottom of the column. Re-sort a column at any time by double-clicking on the column heading.




Automatically

Populate class lists automatically by navigating to the desired filter, then select Action bar: Populate / clear class lists.



Note the options available for balancing the spread of students when populating classes automatically. Students are distributed evenly across classes according to the selected balance type.
  1. No balance
  2. Gender
  3. House
  4. Letter group
  5. Number group.


Other information

Overfull classes will be highlighted, showing how many students the class is over full by. This requires Classes > Class data > MaxStu column to be populated.




Warning Symbols

Symbols may appear to warn the user of n each student cell, there may be a special symbol:
  1. or a numeric digit: means the student has a clash. If it's e.g. the number '2', then it means the student is clashing on 2 periods.
  2. M: means that a Mischievous pair has been set up but the students are in the same class.

  3. B: means a Buddy pair has been set up but the students are not in the same class.


Fields to show

Extra information may be selected from the menu to be displayed at the end of the students' names.
A variety of sort orders are available to sort the class lists.
