Timetable Daily: Getting Started

For Timetable Daily to work in the most efficient manner to suit your school's needs, the following should be checked prior to using the system. 
If you are a new school and haven't been onboarding to Timetable Daily yet then Timetable cloud team would need to onboard you the product. Usually the point of contact in school recieves an email with Subject: Welcome to Timetable Daily - What is next? which explains the next steps such as completing our online self-paced trainnig and sending us the contact detail for your daily organiser to ini. 

Step 1: Check your E10 File (.etz)

Teacher Data

In the timetable file, navigate to Teacher > Teacher data to check the following and update if necessary.

MaxLoad

  1. Ensure every teacher's MaxLoad is correct as this will be taken into account when calculating covers in Timetable Daily.

It is advised you check the overload and underload for teachers in Teachers > Staff Allocations as this will give you an understanding of the teachers who will appear in the Underload tab in the Alternatives window in Timetable Daily.

Unavailability 

  1. Unavailability's for all teachers must be entered into the Unavailable field. This will ensure teachers are only displayed as cover options on the days they are physically at school.
  2. Double click on the Unavailable (greyed out) field to set unavailable times.
Permanent staff in the timetable that are also available to provide paid relief can be configured in Timetable Daily > Admin> Users using the Part-time Casual option.

Email Address

Email addresses for teachers must be entered for teachers to receive

  1. Daily Bulletins
  2. Day Sheets
  3. Access their timetables and other functions dependant on user permissions.
Use the View menu to display the email field if not visible.
Email addresses can be imported.

Bell Times 

Check that your bell times are correct.

  1. Go to E10 > Setup > Grid Structure
  2. View bell time durations to check any variations or anomalies that look incorrect.
Use the View menu to display the bell times option if not visible.


Step 2: Upload Cyclical Timetable Data

The timetable .etz file (cyclical timetable, class lists etc) must be synchronised with Timetable Daily to upload the timetable data For more information on the sync process please refer to the relevant document below. To be able to upload timetable data to Timetable Daily, you would need the  webcode that is issued by license team. Please contact edval-license.team@tes.com to issue the admin level webcode.

Step 3: Access Timetable Daily and initial setup 

Google Chrome is our preferred browser. 
  1. Go to my.edval.education and enter your 7-character WebCode.

Set up the School Calendar in Date Mapping

When first accessing Daily you should be presented with the following message



  1. Click on Go to Date mapping
  2. Configure the calendar based on your schools current academic year
  3. For detailed instructions on how best to do this please read the following document: Timetable Daily: Date Mapping or use the 'Show me how'  walk-through button in the Date mapping screen indicated below.
Once the calendar is configured, Date mapping can be accessed via Daily > Settings > Date mapping.

Check Timetable Daily Settings

To ensure the software is configured to meet the needs of your school, please check all of the settings in Daily > Settings.

The following documents will assist you with what to set up in each of the tabs.

Check timetables

It is important to verify that your timetable data is displayed correctly. To do this:
  1. Click View > Timetables and use the filters to adjust the View Mode, Timetable Type and Selection.
It is suggested you check a number of timetables including; Teacher, Student, Room and Year Ensure Usual TImetable is selected as you will have no daily variations at this stage.
If the timetables displayed do not appear correctly, it is suggested you resync your timetable checking the date range selected. Additionally, check your Date mapping to ensure your calendar is setup correctly.
