Timetable Daily - How To: Roll over into a new year

Preamble


This document is intended to provide a guide for setting up Daily and your School Information System (SIS) for a new year.

Info 
If your school is new to Timetable Daily and did not have previous year data then there is no need of rollover and instead you would need to follow the new setup guide. Please read the following Knowledge Base document Timetable Daily: Getting Started to follow the instructions on how to setup the Daily for the fist time. 
Notes 
The video tutorial below has mention of rollover from 2022 to 2023 but the procedure is still the same for this year and all you need to consider is logging to your 2025 Daily and perform the rollver from there
There are three main steps:

        Step 1: Timetable file ".etz" - sync your new timetable file to Timetable Daily 

        Step 2: Timetable Daily – roll over settings from the previous year into the new one.

        Step 3: Timetable Daily - configure Daily for the new year


Step 1: Timetable file ".etz" - Sync your new timetable file to Timetable Daily

To begin we must perform a sync to Daily. Your timetable does not have to be completed for this purpose.


Warning 

The completion of your timetable is not a prerequisite for this purpose. As long as you have created your timetable file for the upcoming academic year, it is acceptable even if elective lines or specific choice selections remain in progress. The essential requirement is that your timetable file must contain the next academic year in the setup > School Info > Academic year

Please note that your Daily rollover process cannot be successfully completed without first synchronising with Timetable Daily. This synchronisation step is mandatory and must be performed prior to executing the Daily rollover functionality to ensure proper system integration and data consistency.

 

Idea

You can re-sync as many times as you need to update Daily's timetable data. For information on syncing from E10 to the Edval web server please see this Knowledge Base document: Uploading timetable data from E10


Step 2: Timetable Daily - Roll over Settings from the Previous Year into the new one

The new year’s instance of Daily is created when you log into Daily with your new year's WebCode and rollover the settings from the previous year.

When you first log into Daily with your new WebCode, you will notice that the Daily menu is missing from the blue Menu Bar. It will appear once you have completed the rollover step.

 

To roll over the settings from the previous year:
  • Navigate to Admin > Settings
     

  • Click on 'Roll over 20XX Settings'
Notes 


20XX is only a placeholder, the relevant year will display normally

 
  • Choose which data and settings to roll over.
 

Document Templates:
Ticking this option will include all the documents including "Interviews, Exams and Choice" documents. 


 

There is no impact if the school chooses to 'Rollover' the settings from previous anytime of the year for only (Document Templates) it will not overwrite or impact the existing document templates for any of the modules ("Interviews, Exams and Choice").

Notes 

Unless your school has been onboarded with SSO (Single Sign On) then please disregard the 'SSO/SAML Configuration' tick box.


 It is important to also consider point 4 while reviewing this document. The information outlined in point 4 contains specific requirements and considerations that are particularly relevant to SSO-enabled schools.

Step 3: Timetable Daily – Configure the Settings for the new year

Once the timetable has been uploaded to Daily, and the rollover has been completed, the Daily Organiser can configure the settings for the coming year.
        
  • Perform some checks to ensure that the cyclical timetable data has come across correctly, for example, look up a teacher's timetable, check a class list in Daily > Reports > Class list.

Step 4: Timetable Daily – configure SSO (Single Sign-On) settings

Go to Admin > Single Sign On and make sure you have configured your settings.
