How to: Read next year’s timetable this year

Scenario


The school creates a new timetable file for NEXT year which comes into effect during Term 4 of THIS year.  One reason could be that the school runs a Headstart program.


The school has a compressed timetable with Yr11 and Yr12 students only doing 3 subjects each year.  This means the students sit their HSC exams for 3 subjects in Term 4 of Yr11 and then again in Term 4 of Yr12 for the other 3 subjects.  After the Yr11 students have sat their HSC exams, they start Yr12.  This is usually in week 6 of Term 4 each year.  The school rolls over the file and all students (Years 7/ 8-11) are moved up to the next year level.  


The school is using WebDaily or EdvalDaily for daily organisation.


Setup


In each case below:

  1. Take a copy of the constructed NEXTyear.etz file and call it something like THISyearTerm4.etz

  2. Change File > Options > Academic year (this file) to THIS year. Save.



WebDaily


  1. Sync THISyearTerm4.etz to Edval web server, making sure to sync for a future date and NOT a previous date, otherwise historical data will be overwritten.

  2. Sign in to WebDaily with your current year's webcode and see the new timetable forward.  Keep in mind that any future absence or covers will be wiped out if that particular teacher doesn't exist in the current synced file.

  3. If you are using rotations and your headstart file is on rotation one then you need to also make sure that you have your webdaily on rotation one in Daily>Admin>Settings>Date Mapping, so move your rotation 2 somewhere to the end of year. e.g. 25th December 



EdvalDaily


  1. In File > Configure database:

    • Browse to read the temporary file THISyearTerm4.etz

    • Browse to read current THIS year dayorgz (or create a new temporary dayorgz just for Term4).

  2. Change the File > Calendar Setup (If you created a new temporary dayorgz file) 

    • Set up MonA

    • Mark holidays.
