Preamble
View single or multiple teacher timetables, by a single rotation or for several rotations by using the filters at the top-right.
To print a teacher timetables, use the Quick print function top-left or go to File > Bulk print > Teachers > Teacher timetables tab.
View Teacher timetables:

The View menu offers a variety of timetable display options and inclusions.
Display options include showing teacher codes or teacher names; displaying class codes or class subject names, showing bell times.
View a single teacher’s timetable:
Select them from the toolbar drop-down list, or type their code or name (or part thereof) into the ‘Find’ box.
Use Page Up/Down on the keyboard to cycle through the teachers.
View several teachers at once:
Click on the teacher toolbar drop-down list and select multiple teachers at once.
Edit teacher timetables:
- Move a lesson from one period to another: Drag and drop a lesson to the new place. This should only be for off-line period moves, as almost all online classes should be moved via the Master Grid (F11) screen.
- Change/assign a lesson to another teacher: Click on the lesson, hit T or CTRL-T on the keyboard, then click on the new teacher code in the selection window. Note that the teachers in the subject teacher set are at the top and the rest of the teachers are listed below. Also, note that the current teacher's load is displayed on the right. Click on the minus for that lesson to assign no teacher for that period.
- Change/assign room: Click on the lesson, hit R or CTRL-R on the keyboard, then click the new room. Click on the minus for that lesson to assign no room for that period.
- Undo a move: Hit CTRL-Z on the keyboard or the undo arrow top-left of the screen.
- Need teacher section: Lessons not yet assigned to a teacher, but of which this teacher is included in the Subject teacher set, can be dragged and dropped into the correct place. This teacher will now be assigned this lesson.
- Need period section: Lessons that are assigned to this teacher but not yet timetabled are shown in this section. Drag and drop a lesson into the 'need teacher' section to assign it to this teacher, or move it directly onto the timetable into an available cell.
- Remove a lesson from this teacher's timetable: Drag and drop it down to the ‘need period’ section.
Edit and show staff loads
- Remove a lesson from this teacher's allocations: Open up the change/assign teacher window, by clicking on the lesson and hit T on your keyboard. Click on the minus for that lesson to remove the lesson from the teacher's allocation. The actual class will remain on the timetable where it has been placed, it is just now without a teacher.
It is possible to allow the loading calculations to show at the bottom of the timetable. View > Staff loads enables this feature, which shows the formula used to calculate the teacher's load:
‘Load’ (MaxLoad) less ‘Teach’ (allocated classes) less ‘Non-teach’ (includes Allowances and Meetings) equals periods remaining/underloaded.
The corresponding Staff allocations (F4) display for this teacher shows the breakdown of their load:
Unavailable periods:
If the teacher is unavailable for a particular period, then the cell is coloured grey. Where it is a part-timer's non-specific day off, then the cell is coloured purple.
Clash spots and warnings:
Shown by coloured circles on the relevant cells of the table, indicating where a teacher, room, class, student or other is being requested in two places at the one time, or where classes have been placed in rooms where there are not enough seats.
Double click the cell for a pop message showing the specific details on clashes in that cell.
- Blue (T): A teacher clash.
- Red (S): A clash of student groups.
- Light orange (R): A room clash.
- Grey (U): A teacher is marked 'Unavailable' at this time (F2 screen).
- Grey (s): A split class (different teachers for different periods).
- Grey (S): A class is split across 3 or more teachers
- Yellow (f): A room that is overfull, i.e. more students than the room's capacity.
- Yellow (F): A room that is overfull even allowing for the 'overfill' margin.
- White (o): An off-timetable lesson that has been brought onto the timetable.
- Orange number or orange 'S': An off-timetable lesson that has clashes involving 1 or more individual students. More than 9 will display as 'S'.
- Pink (S): A clash of students based on individual students' class membership data.
- Pink (C): A student cross-campus clash
- Yellow (N): A room that violates special Needs requirements.
When a lesson is 'picked up' to be moved elsewhere, cells are temporarily coloured according to the clashes that would occur were it to be moved to that place. Cells are darkened if they are not applicable to the lesson. Solving timetable problems in individual teacher timetable screens is not the suggested place to do so, although offline classes may be assigned here.
Teacher Master
The Faculty master (CTRL-F3) and Teacher master (day by day) shows the list of teachers is down the left-hand side and periods in chronological view or by day.
These timetable views work similarly to Teacher timetables. They show clash spots, provide the View menu options, the ability to drag and drop individual classes from one teacher to another and make room changes.
