Teachers > On-call roster

Preamble

Creating an on-call roster ensures that there is a pool of available teachers from within the school, during any period of the day, who can be asked to take an absent teacher's class. This allows teachers to plan their non-teaching activities around their designated on-call periods and enables the school to more evenly apportion covers. One or more teachers can be assigned to each period of the cycle, and on-call periods will show on teacher timetables.

This feature is designed to work in conjunction with the EdvalDaily software when organising staff replacements. Teachers may still be manually allocated a cover even if they are not on-call during a period unless individual school policy overrides this.

 On-call loads 

Teachers > On-call roster > On-call loads tab
Set default, or manually enter the number of periods each teacher will be assigned an on-call period. Or, let Edval calculate the number of periods to assign, based on the teacher’s load.

Columns:
Note that the only editable field in this screen is the 'Num' column.
1. Name: Teacher name
2. Faculty: Teacher's faculty
3. Num: The number of periods per cycle that a teacher can be considered on-call, factoring in each rotation. E.g. 1 duty per week in a 2-week cycle with 3 rotations would be '6'.
4. Left: The number of on-call periods a teacher has left to be assigned to overall rotations. (The assigned number of periods is not displayed, but calculated from Num less assigned = Left).
5. Teaching balance: The Balance of the teacher's teaching load for the current rotation. If the teacher was allocated less teaching periods than their maximum as specified in Teachers (F2) > Teacher data, then this will show up as a positive amount in this column. Similarly, teachers allocated over their maximum show up as a negative balance. This is helpful when deciding how many on-call periods to set as the teacher’s maximum.

Teachers may be assigned default numbers by going to the Action bar on the right and selecting Create on-call loads. 
Enter the number of default on-call periods to assign to each teacher. 
Checking the ‘Fewer for overloaded teachers’ or ‘More for underloaded teachers’ boxes will allow Edval to calculate the number of on-call periods to give each teacher based on their Teaching balance.


 Auto-staff 

Teachers > On-call roster > Action: Auto staff
The auto-staff feature applies the following priorities when deciding which periods each teacher gets:
  1. Don't give a teacher 2 on-calls in the same day; 
  2. Prefer days when the teacher does not have as many lessons; 
  3. Try to give the same number of teachers to each period (spread them out); 
  4. Give each teacher a range of morning/ middle/ afternoon periods; 
  5. Avoid putting 2 teachers of the same faculty on the same period.
Manual edits can be made to the on-call roster after auto-staffing is complete, or the roster can be completed manually staffed in the Teachers > On-call roster screen.

Clear staffing

Teachers > On-call roster > Action: Clear on-call roster
Clears the current roster of all staffing.

Show Roster

Teachers > On-call roster
If the on-call roster has been staffed, this screen will show the on-call roster. Teachers waiting for on-call periods to be assigned to them will appear in the ‘need period’ section the bottom.


Modifying: Drag and drop teachers from one slot to another, or up from the ‘need period’ section at the bottom of the screen.
Note: On-call periods may also be changed in an individual teacher’s timetable view screen Teachers > Timetables (F3), and also in the Teacher master view timetable Teachers > Teacher master (by day).

Clash spots will show as per other timetable views.

The On-call roster view can also be customised by clicking on View; 'Fields to show' and/or 'Layout'. (top right)

Use the Quick Print or Export to Excel icon top left to export the On-call roster.
