Preamble
This document explores the rollover options available when making timetable changes for years 11 and 12 in Term 4, with a focus on scenarios common in NSW schools.
A variety of functions are available when preparing for changes in Term 4:
- Year 12 classes can be removed from the grid. Year 11 classes can be 'graduated' into Year 12, or remain in Year 11.
- Year 11 students can be moved to the Year 12 year group, or remain.
- An on call roster can be created within the etz for teachers of departed Year 12 classes.
- A 'Meadowbank' roster can be created in Daily without making any changes to the etz file.

Function A - E10 Rollover Year 11 to Year 12
- Year 12 students will be deleted from Yr12 in Edval.
- Year 12 classes will be deleted.
- The current Year 11 students will be in classes that are now prefixed with 12, not 11.
- Changes will only apply to Yr11 and Yr12. Other year levels will stay as they are.
- A new copy of the etz file will be created with the suffix 'Term 4'.
STEPS
1. File > Rollover next year > Yr11 term 4 to Yr12
OPTIONS
Tick Box: Meadowbanks Rollover Option
This option caters to the scenario common in NSW schools in which year 12 teachers are made available for in lieu classes, or 'Meadowbanks'. When this option is selected, Year 12 teachers will be placed on the E10 On-call roster on the periods in which they previously had a year 12 class.


Once the On-call roster is created, schools have the option of modifying it to redistribute when on-calls take place. Refer the article below for further information.
Option 1
Year 12 class data will be removed from the file. Year 11 classes will remain in the Year 11 but the prefix will be changed to '12'
Option 2
Same as above, but students are also promoted into the Year 12 year group. This is recommended when syncing to Edumate.
EXAMPLES
Teacher timetable BEFORE Term 4 rollover
Teacher Timetable AFTER:
1. Meadowbanks not ticked
2. Meadowbanks ticked - replace outgoing Yr12 with On-calls
Students AFTER using Option 1
- Old Yr12 students and classes removed.
- No students in Yr12.
- Yr11 students still in Yr11 with classes prefixed with 12.
Students AFTER using Option 2
- Old Yr12 students and classes removed.
- Yr11 students and their classes promoted to Yr12 (classes prefixed with 12).
- No students in Yr11.
Extra Step - Fix any teacher inconsistencies
Function B - Yr12 to On-calls (Meadowbanks)
This option retains Yr12 classlists but takes all of the Yr12 classes off the grid. Year 12 teachers are placed on the E10 On-call roster.
The Yr11 students remain enrolled in year level 11 with 11 as the prefix.
This function has the same effect as ticking the Meadowbanks Rollover option in Function A, above.
