E10 - Rooms - Room Allocations

Preamble

This document will explain the views and functionalities of the Rooms > Room allocations screen. This screen is visited after the auto-rooming function has been performed to allow you to view and analyse the results.








This screen shows all classes in a rotation which need a room, along with the room/s that they have been allocated.
Alert

Classes which have not requested a room (Class data > RoomPref=NONE) will not appear, nor will classes which have a hard-coded room (Class data > RoomPref=ONLY).
All other classes which have more than one room option will appear in the list.
Use the filters top-right to focus on a particular faculty, year or rotation.
Double click on the grey column header to sort by a different column.

Each class is are shown in a single row, together with the subject name and 'primarily' assigned teacher (if split). The room is coloured according to the preference level:  
  1. Green = room assigned is a preferred option and therefore a good result
  2. Orange = room assigned is a less preferred (fallback) option and therefore a less preferable result, and a penalty score has been given
  3. Red = room assigned is a general room that was not included in Subject rooms. 

Scores

The list is sorted by default by the score. Classes with the highest penalty rooming scores, due to clashes, non-preferred rooms and poor continuity, sort to the top, as these are more important to analyse.
Double-click on the room score field to see the room quality rules that have been violated, and ensure you understand why E10 considers a class has poor rooming, or perhaps why it does not when you think it 'should'.




You may consider adjusting your Subject room options and preferences (or rarely room weights) to allow more flexibility for subsequent room improvements to the timetable. You may also consider the flexibility of class structures needed to get good rooming.

The overall scores can be seen in a report via the Action bar > Rooming quality button. Each factor E10 takes into account when auto-rooming is listed along with any penalty figures, listed as both raw and weighted scores. Note that this report can be exported to Excel.



This report is also accessible via the Reports menu.



Editing the room allocations

Alert

E10 discourages manual room adjustments for anything other than a timetable in operation. You should always try to use the automated room assignment or Rooms > Room allocations > Actionbar: Improve to fix clashes and missing rooms to address issues, as this is faster and provides better overall results.
There is an option to Improve the results (Action bar > Improve > Optimise rooming). Select 'Optimise rooming' to improve the overall rooming or 'Fix clashes, to resolve any existing room clashes. The overall score will update, which can be viewed on the Rooming quality panel.


Manual changes

To make manual changes, double-click on the room you would like to alter.  This opens the room-selection window, which shows all periods on which this class is scheduled. The period involved has a slightly grey background so you know which period you are making a change to.



Click on a room that is blank, meaning the room is free during this period, to place the lesson in that room.
Click on the minus sign to remove the room assignment for that period, and the class will be missing a room for that period.  
If you click on a room that is already assigned to another class, you will be prompted as to whether you wish to 'Double up', 'Swap' or Cancel.



After the window is closed, the Room allocations table is updated with the change made.
