Preamble
Users may need to manually alter students preferences once the preferences are in the etz file.
Schools using Edval Choice: Manual changes cannot occur until the form has been closed.
Manual edits
Course codes can be typed directly into cells. Once the code is recognised, Edval will complete the code entry, so the user does not need to type the entire code and can move out of the cell.
Note that it is not possible to enter a code if the same code exists somewhere else in the student's preferences. The original code would need to be first deleted before entering the code into a different preference cell.
Moving preferences left or right
There are some shortcut keys to assist moving preferences:
Move individual course codes to the left: Click on the code you wish to move, and hit Control L on the keyboard.
Move individual course codes to the right: Click on the code you wish to move, and hit Control R on the keyboard.
Move whole Pref columns to the left: Click on the column you wish to move, and hit Control L on the keyboard.
Move whole Pref columns to the right: Click on the column you wish to move, and hit Control R on the keyboard.
Export/Import
It is also possible to export preference data by selecting the Excel button, manipulating the data, then importing again.
NB: Depending on the dataset set up, the export may contain column gaps, as seen below, which must be corrected prior to importing. Ensure that the data has student preferences exactly as they should be imported in.
Consultant tips
It can be easy to make errors when making manual changes to student preferences, due to interruptions, user error etc. Consultant tips:
- When first gaining confidence in performing this action, do it first in a copy of the etz file until you are confident to make the changes in the live file.
- Save regularly in case you need to 'Revert to saved file' , so that you do not lose too much data.
- Use the Undo and Redo buttons where necessary.
