E10 - Choice: Download student choices from the webserver

Preamble

Once submitted, student preferences can be downloaded into the etz file at any time, whether the form is open or closed.


NOTE
If using a multi-year dataset, each year level must be downloaded separately.


How to download choices

  1. Navigate to Lines > Elective data > Students. 
  2. Select the desired dataset and year level from the filter.
  3. Click Action: Download student choices from Edval Choice. 
  4. A popup will show how many submissions are retrieved.


Information downloaded into the .etz file

  • Pathway (if the school has set up pathways)
  • Preferences, both main and reserves
  • Total units requested
  • Submit time


TIP
After forms are closed, do a final download of student choices and keep this etz file (named appropriately) as a clean reference before making manual changes.


Common questions and issues


Q: Why aren’t all of the students’ main preferences displaying?

A: Check Lines > Elective data > Courses > Action bar: Parameters. The #Elective lines is equal to the number of main preference columns that display in the Students screen. Note that not all of the columns may be filled if the school set up their online Choice form in such a way for this to occur. This may be fine, or it may indicate an issue.


NOTE
The main preference section is treated as a full program. For example, if the listed courses total 10 units, the system will aim to allocate students a 10-unit program during line generation. Check that the main prefs total will allow students to have a full program. If the main preference section is showing too many courses (units) or too few, the data may have to be manually modified. Refer to E10 - Elective data > Students: Change student preferences


Q: Why aren’t all of the students’ reserve preferences displaying?

A: Check Lines > Elective data > Courses > Action bar: Parameters. The #Reserve prefs controls how many reserve preference columns display in the Students screen. Increase #Reserve Prefs to reveal any additional reserves.

Q: Can I download multiple times?

A: Yes, choices can be downloaded as many times as needed. If for some reason you don't want existing data overwritten, then create a new etz file before downloading. If the filename is different from the etz filename when the form was last sync'd you will get a warning. Click Proceed if you still want to download choices using a new file.


WARNING 
Keeping multiple etz files with different downloaded data can cause confusion. Name files appropriately to ensure the correct one is used for line generation.
