Preamble

Once lines have been generated and finalised, communication to students can occur. The student Counselling report is a useful tool to use when counselling students who were not granted a full program and need to choose another course.
Warning
It is advisable to inform students of their subjects only once the school is confident that the lines solution can be timetabled. Occasionally, after lines are generated, there may be resource changes, usually staffing changes, requiring changes to the lines solution. If students have been told of their subjects based on a lines solution, but then changes to the lines solution are required, they may not actually be able to have the subjects previously communicated. Leaving this communication until the school is satisfied a timetable can be produced is the optimal situation.

Report options

A report may be printed for
  1. Summary report (all)
  2. Student report (Individuals)


Summary report (all)
A summary report displaying students who missed preferences and which lines they do not have a class on through Lines > Analysis > Counselling report.


Student report (Individuals)
An individual student's report displaying a line-by-line breakdown of subjects, highlighting the subject they have been granted on each line, and any line that they do not yet have a subject in. Alternate courses display for their consideration including available places.

In the example below, the following features are highlighted:
1. The student asked for 12 units, but only received 10 units.
2. Each line shows the course granted, both in the header and highlighted in the list.  Notice here that the student's Line 1 option is also available on other lines.
3. Lines without a choice have a blank heading.  This student can be counselled to select a course on this line.  Alternatively, the Line 1 option is available in this line, so a swap could be achieved enabling them to pick an option on Line 1.
4. Print this student's counselling report, or print all students' reports in the current dataset.
5. If there are courses on this line running in a rotation, they show below full-year options.
6. All other lines appear below.




Further options include:
  1. Include students given reserves
  2. Include students given all primary prefs
  3. Show all classes, even if full
  4. Abbreviate text if too wide.
