Choice - How to: Add additional staff to access online Choice administration features

Preamble
Some schools may wish to allow multiple staff to log into the online Choice administration module. This document explains how to create log in WebCodes for those additional staff.

Please keep in mind that the main Choice administrator will receive their admin webcode either by requesting Edval license team, or by auto generating it during the timetable rollover stage, Please read here for more information on how to auto generate webcodes during rollover stage. 

Next Year's Academic Timetable

If a school would like to add additional staff to access Choice administration during the current academic year, please refer here. This could be required for a school running sports selection during the current year. 

Scenario 1 - User does exist in timetable file as a teacher under Teachers > Teacher data 

Step 1: Sync your timetable file to the web server 

  1. You will need to sync your next year's timetable file to the web server first
  2. You can select only (Teacher data) when syncing if you do not wish to sync your next year's timetable data yet. It is fine if your timetable file is not ready, all we need is to sync the teacher data only to the web server
  3. Go to File > Synchronise > Configure and select Edval web server from the drop down, if it is not configured yet
  4. Once you have entered your next year's webcode go to "Sync now" screen, select only "Teacher Data" and hit sync
  5. The date range in the sync screen does not matter as a teacher data sync does not follow any date range concept. You can leave the date range as default per the dataset 


Step 2: Log onto Edval online

  1. Navigate to my.edval.education
  2. Enter your WebCode (for the next year academic timetable)
A different WebCode is required for each year's database, so use the corresponding WebCode for the data (year) you wish to see.


Step 3: Check/create a Choice Administrator role

Once logged in to my.edval.education, a role needs to be set up to allow the user to perform the relevant Choice actions.
There may already be a default role visible to you - please check the permissions if so.
  1. Navigate to Admin > Roles



  2. If the Choice Administrator role is already visible, select the edit icon
    If there is no Choice Administrator role visible, select Create role from the actions panel on the right

  3. From the Permission options, check/select each option as per the image:



  4. Save


Step 4: Assign the role to the individual user

  1. Go to Admin > Users and find the user from the list by searching for their name 
  2. Click on edit icon at the right section and select the choice administrator role 
  3. A user can hold multiple roles, so a user can be a permanent teacher and also a choice administrator
  4. Save


Step 5: Send staff their WebCode

  1. Navigate to Admin > Users
  2. Tick the staff who need a WebCode emailed to them, make sure the user has got an email address listed in the Email column
  3. Select Send WebCode from the action panel on the right
  4. Select Yes
  5. If the user does not have an email address, the webcode can be copied and shared to the user

Scenario 2 - User does not exist in timetable file as a teacher under Teachers > Teacher data

(This method can also be used if the following year's file has not yet been synced to the Edval WebServer or school do not wish to sync)
If user is not a teacher or not added under (Teacher data) in timetable file then proceed as follows:

Step 1: Log onto Edval online

  1. Navigate to my.edval.education
  2. Enter your WebCode (for the year's database that you wish to access)
A different WebCode is required for each year's database, so use the corresponding WebCode for the data (year) you wish to see.

Step 2: Check/create a Choice Administrator role

A role needs to be set up to allow the user to perform the relevant Choice actions.
There may already be a default role visible to you - please check the permissions if so.
  1. Navigate to Admin > Roles



  2. If the Choice Administrator role is already visible, select the edit icon.
    If there is no Choice Administrator role visible, select Create role from the actions panel on the right

  3. From the Permission options, check/select each option as per the image:



  4. Save

Step 3: Create additional users

  1. Navigate to Admin > Users



  2. Select Create user from the action panel on the right


  3. Enter their details.
    Use the same teacher code that is used in the .etz timetable file where possible. Teachers can be entered as 'Admin' type at this point, as they will automatically be altered to 'Teacher' type when the .etz timetable file is sync'ed for Daily purposes




  4. Select Choice Administrator in the Roles section



  5. Save

Step 4: Issue staff their WebCode

  1. Navigate to Admin > Users
  2. Tick the staff who need a WebCode created
  3. Select Issue/Reissue WebCode from the action panel on the right
    Note that the pop up allows the user to be emailed their WebCode at the same time as creating the WebCode, or the next step explains how to email a WebCode that has already been created


Step 5: Send staff their WebCode

  1. Navigate to Admin > Users
  2. Tick the staff who need a WebCode emailed to them
  3. Select Send WebCode from the action panel on the right
  4. Select Yes


Current Academic Year 

These steps should be followed if you require a webcode for additional staff for the current academic year. This would normally be required if you are running your sports choice selection under the current academic year. 

Scenario 1 - User does exist in timetable file as a teacher under Teachers > Teacher data 

Step 1: Sync your timetable file to Edval web server 

  1. The main Choice administrator needs to make sure to sync the current year's timetable file to Edval web server using the admin webcode issued by tes.
  2. For instructions to sync your timetable file to Edval web server refer here. During the sync process, the user has the option of either ticking only teacher data to sync users online or selecting all options

Step 2: Log onto Edval online

  1. Navigate to my.edval.education
  2. Enter your WebCode (for the current academic year)
A different WebCode is required for each year's database, so use the corresponding WebCode for the data (year) you wish to see.

Step 3: Check/create a Choice Administrator role
