Timetable Interview: Events - Participants schedules

The purpose of the Participants Schedule page is to:
  1. view both family and teacher schedules
  2. enter availability times or make bookings on behalf of a family
  3. interact as a teacher: enter unavailability time, break slots, and select students as 'Priority'
Each event has a 'Participant schedules' link to the right of the event.

Selecting 'Participants schedules' opens the 'View Schedule' page (regardless of the status of the event). A message prompts the user to select a student or a teacher from the panel on the right.


Students

View schedules

Select a student from the right. If the student is part of a family group, the siblings will also be highlighted, and all siblings' schedules will display.


Act as a Family

If a family has not entered availability, selected teachers to see, or made bookings, the Administrator may do this on their behalf.
The 'Book times' tab will only display if the event status is 'Open to book' or 'View only'.
  1. Select the Student / Family
  2. Navigate to the Availability tab and enter availability times
  3. Navigate to 'Request interviews', or click on the Next button
  4. Click on the teachers the family wishes to see
  5. Place teachers in priority order if the event is still in 'Parent Preferences status
  6. Navigate to 'Book times' (available if the event status is 'Open to book'). Administrators will see any existing family bookings. Each column will display the name of the teacher, the subject, and the student.
  7. Click in an available (white) slot to make a booking at that time with the teacher
  8. Select Finish when all bookings have been made
Change existing bookings
To alter existing bookings for families:
  1. Select the student from the right
  2. Click in an alternate available (white) slot to move a booking to this slot
  3. Select Finish when all changes have been made

Teachers

View schedules

Select a teacher from the right. The 'My Interviews' tab will display along with any existing bookings.

Note. Global Break are breaks that have been created in the Sessions and are managed in the Teacher tab

Act as Teacher

Enter Priority Students
  1. Navigate to the Priority tab
  2. Tick the Priority box to the left of any student who should be flagged as a request to see the teacher
  3. Select Save when all students have been selected
Enter Unavailability
  1. Navigate to the Unavailability tab
  2. Compete the required details
  3. Select Save
