Timetable Interviews: Event Status 4 - Open to book

Open to book status is applicable to both Timetabling and Booking modes.

Note that some schools may not wish to allow families to manually change bookings if they have generate as schedule, in which case, skip to the 'View only mode' status.

When the school reaches the stage in the process where families are permitted to log in and make manual bookings, the status should be changed to 'Open to book'.

A 'Booking limit' must be entered to signify the maximum number of bookings that can be made for each child. (Enter 99 if the school does not set a maximum limit).

When families log in, they will first enter their availability, and secondly list the teachers they wish to see. They may then proceed to the 'Book times' screen to make their bookings. See document Interviews: Mobile Responsive Family View.

The Book times tab will display for families and they can:

- Select the session date (if the event has multiple sessions set up)

- Auto-schedule their appointments

- Manually click in an available (white) slot to book the slot for each teacher they wish to see

- Choose to print or email their bookings.

At some stage in the process the Administrator may wish to close the system for bookings, while still allowing families to log in and view their schedules, so will change the status to View only.

If the Interview event has already been set up online prior to adding/removing teachers, students and classes to the .etz file, a 'yellow warning icon' will appear on the Events page to alert the Administrator to a change in data received from the ETZ file post a sync from the ETZ file to the Edval web server.

The Administrator will also receive an email of a change of data.

If the Administrator is confident that theses changes can be accepted, edit the Interview event, and select 'Yes, accept changes'.

Please make sure that you do not accept the changes if the Event status is Parents preference, Generate schedule and Open to book
