Timetable Interviews: Send or Print Schedules

Once schedules have been generated, the Interviews Administrator can communicate the schedules to families and Teachers.

This function will only be performed after schedules have been generated.

This document assumes that an event has been set up and that Family data has been verified.

Step 1: Select recipients

All recipients

To select all participants for the event, such as all Families, or all Teachers:
  1. Select the event
  2. Select 'Send/Print Schedules' from the Actions panel on the right

Selected recipients

There may be times you wish to send to or print for just selected teachers or families.
  1. Select 'Participants' for the appropriate event

  1. Select Teachers or Students from the Filter by type panel on the right
  2. Select one or more participants from the check boxes on the left
  3. Select 'Send/Print Schedules' from the Actions panel on the right.

Step 2: Select the template and attendees

  1. Template: Select the desired template

Note that the template must contain the Merge field 'Parent Schedule table':

  1. Attendees: Select from TeachersParents or Parents who have not yet submitted preferences.
  2. Print or Send: Select to either Print PDF or Send Emails
  3. Only include 'view only' sessions: this option may be selected where an event has some sessions marked as 'View only'.
  1. Select preferred sort order
 

Send Emails

  1. Reply to address: Enter the preferred reply-to address. Left blank it will go to edval-noreply@tes.com which is not checked by anyone

Idea


The 'Email me a sample' feature is a good opportunity to check that the document looks as you want it to. The pop up will display what the document will look like with Merge fields completed. If there are issues spotted here, go back to Documents > Templates and fix the errors.
