E10 - How to: Manage classes with rotated topics ( e.g. Technology Mandatory )

Preamble

This arrangement enables students to cycle through 2/3/4 different Technology Mandatory subjects during the year.

Create classes to be rotated

1.  Create the classes that are to be rotated e.g. 8TEC1, 8TEC2 … completing the fields (Faculty, Subject, #Per, Line (Group)). These are the umbrella classes and will hold the students in the class.  When constructing the timetable, E10 will manage the spread of these umbrella classes.
























2. Set up rotations by right-clicking in any cell in the row of an umbrella class. Select Manage sub-classes
3. Select  Different things in different rotations
4. For each class specify the required number of components: 2 for semester rotations, 4 (or 3) for term rotations.














Check sub-classes

5.  E10 will create the specified number of sub-classes. In this example there are four sub-classes:
  1. E10 has created unique course codes for the subclasses based on the course code of the umbrella class e.g. TEC was used to create TECA, TECB, TECC, TECD.  
  2. Each rotated subclass has the ClassID of the umbrella class, in this case 1.  
6.  Change the course code of the individual subclasses to reflect the subject being studied.  

















In this example,
  1. The course codes are TFT = Tech Food Tech, TWW = Tech Woodwork, TMM = Tech Multimedia, TTX = Tech Textiles,
  2. Check the #Per. These should be the same as the umbrella class.
  3. Check the Spread of the subclasses. These should be Anything as will pick up the same spread as defined for the umbrella class.
  4. Check the required rotations.  By default the order is 1, 2, 3 & 4.


Assign teachers and rooms

7.  If keeping the same teacher for each rotation, enter the Preferred teacher against the umbrella class and None against the sub classes

8.  Usually, the group of students will rotate through different subjects requiring different teachers in different rooms.  In this case:
  1. The TeacherPref and RoomPref of the umbrella class is set to None.
  2. Each subclass subject will have a Teachers > Subject teachers (Shift+F2) set and a Rooms > Subject rooms (Shift+F5) set.
  3. The question marks indicate that data is missing for these subclass subject sets: TFT, TWW, TMM, TTX.


Notes
However, if the Subject teachers and Subject rooms sets are defined, there is no need to record an entry in the TeacherPref or RoomPref fields.  E10 will assign teachers and rooms via the Auto-staff and Auto-room routines.


Timetable construction

9.  The timetable should be constructed for all rotations at once.

10.  When it is time to change rotations, use  Settings > File  (Shift-F1) to change the Current rotation and save.  Daily needs to pick up the saved version of the timetable file to pick up the new rotation.
