Preamble

Passwords can be used to restrict access to an etz file or restrict the ability to save changes to an etz file, or both.
There are two types of passwords that are optionally available for use in Edval 10. Each can be used individually or in conjunction with one another.
- File encryption password: Provides restricted access to an etz file
- Read-write access password. Provides restricted access to the ability to make changes and save an etz file. 


Use of Passwords

The file encryption and read-write passwords can be used independently of one another. The table below summarises their use.

Info  Access to the etz file can also be restricted through the use of Windows folder permissions on the school network. 

Setting up a password to provide restricted access to an ETZ file


Access to opening an etz file can be restricted through the File-encryption password. 


  1. Go to Setup > School Info and select the Privacy tab.
  2. Create a File Encryption password by entering and re-entering a password of your choice.
  3. Press 'Apply' and then save the file.
Users will now be prompted to enter this password when opening the etz file.
Warning  IMPORTANT: Passwords MUST be alphanumeric only. Do not use special characters, for example, ^. 


Setting up a password to restrict the ability to save changes to an ETZ file

The ability to save changes to an etz file can be restricted through the Read-write access password. 
  1. Go to Setup > School Info and select the Privacy tab.
  2. Create a Read-write access password by entering and re-entering a password of your choice. Press ‘Apply’. 
  3. Save the file. You will be prompted to enter the new read-write access password you just created. 
Users will now be prompted to enter this password when saving changes to the etz file.


Setting up password access to Edval Staff for class list management

The Edval Staff software allows multiple users to  simultaneously manage student data and class list management, which feeds directly into the .etz timetable file. Some schools like to set a password for each year level to limit staff to make changes to selected year groups.


Info Student data and class lists data may be sent directly to the Edval webserver for Edval Daily, Edval Choice or Edval Interviews purposes. To authorise a user to send this data to the Edval webserver, a Webcode is required to be entered. See the section below for further reading on webcodes. 


How to set up a password for access to Edval Staff for class list management

  1. In the .etz timetable file, go to Students > Student data
  2. Filter to select the year level for which the password is to be set
  3. Select Action bar: Password (multi-user changes)
  4. Enter and re-enter a password for this year level
  5. Repeat for any year level requiring a password
  6. Select 'Set password' and save the file



When a user opens Edval Staff and tries to make a change, they will be prompted for the year level password.



Edval Online Storage (Disaster Recovery)

NSW Department of Education Schools onboarded to the Disaster Recovery feature will be presented with the 'Edval Online Storage' login window upon opening an etz timetable file. Please refer to the E10 - Disaster Recovery article for further information.
