Preamble
The School Info tab contains information and some settings for the .etz timetable file.
Typically this information is entered once and most details do not change from year to year.
Admin tab


School phone number: optional.
Govt School code: optional and may be required for certain exports or reports.
Academic year (this file): The calendar year of the timetable file e.g. 2024 for an Australian school or "2023-24" for a northern hemisphere school. Important when syncing to external systems. This field automatically changes to the following year during the rollover process.
Number of Rotations: The field has been moved to the Settings > File screen (May 2023).
School days per year: The number of school days across the year.
Region: The region for the school from the drop down menu. This field affects such things as table fields, screen views and available reports.
Check or uncheck these boxes depending on the file requirements:
- Admin system control: Some schools, such as schools using Edumate, Sentral or certain other school admin systems, require the admin systems to be the source of truth for student, teacher and room information, therefore do not want to create this data directly in E10 . Select this option to block users from entering this data directly into E10. Please note this will disable the functionality to delete students from the Students > Student data screen.
- Enable extended colour options: Unticked allows a base set of colour options for faculties or subjects. Ticked allows a large array of colours and shades.
- Export colours to Excel: Controls whether screens containing colour, such as teacher, student and year timetables, export with or without colour when selecting the excel icon from the timetable view.
- When viewing teacher loads in periods:
Select Don't worry about lengths of periods - just report lesson count if you want each lesson to count as 1 period or to respect the syntax in the #Per column in class data e.g. 0+10(3). This is best used before timetable construction.
Select Be aware of the actual length of each lesson - report a relative number of median periods if you want loads to account for differing period lengths. This is best used after timetable construction and would not need the #Per syntax in class data as above, unless the load for certain allocations is 0 e.g 0+10(0)
Wild card string identifying Roll Classes: To print student timetables and have them sorted by their roll group classes, enter the identifying roll call class code. Each school may use different class codes to identify as roll call classes, but typically include codes such as *RC* / *HG* / *TG* etc
Asterisks and question marks act as a 'wildcard' strings to match year levels or class identifiers.
Which format to use for constructing class codes from elective lines: Contains a drop down menu providing class code default options. This setting is also referred to when classes are set up in Class data where the View option 'Split class code' option is chosen. This view option shows the Course and ClassID fields in separate columns. Whichever option is selected in the Setup screen is how the Course and ClassId fields will be merged into the full class code.
Criss-crossing blocks mode: This rarely needs altering from the default 'Inconsistent' and governs how rotations and structure are dealt with. Would it be acceptable for Line A to overlap Line B, if the classes in question are in different rotations? 'Flexible' says 'yes' with no resulting clashes. 'Constrained' says 'no' which is theoretically possible but very unwise. 'Inconsistent' is the historical position, where it is sometimes allowed and sometimes not.
Multi-grid mode: This applies to schools that have different bell times/staggered recess and lunch times within the same school campus. Schools cannot apply this setting themselves; they must discuss their requirements with a Tes Timetable consultant. An additional license is required for the multi-grid functionality. In new License packages, this is included.
Full time load per cycle: In periods or In hours:minutes: Enter the full time teaching load in periods or hours and minutes. E10 will determine the other based on the grid structure.
Work allocation index maxumum weekly face to face hours (hh:mm): This displays only in files with a region of VIC and is used in conjunction with the Work Allocation Index report (formerly the 480 index report). As the maximum weekly face to face hours is now subject to change (was previously 20 hours), it is now important to enter the required maximum, in hours and minutes, for example 19:30. If nothing is entered here, the report will use a default value of 20 hours. Refer to E10 - Reports: Teachers: Work Allocation Index for details on how the Work allocation index report functions.
