E10 - Choice: Publish - Email or export student WebCodes

Preamble

Students require an individual WebCode to log in to the webserver to submit their subject preferences. WebCodes are generated when the timetabler first sync's the Choice form to the webserver, and are stored within the etz file. These WebCodes will be communicated to students at the appropriate time, usually when the form is ready for student submission.

There are two options for the communication of WebCodes from the etz file:
  1. Export WebCodes (for mail-merge)
  2. Email WebCodes

Export WebCodes

  1. Navigate to Lines > Edval Choice > Publish
  2. Select the desired dataset and year level from the dropdowns
  3. Select Export WebCodes
  4. A pop up will display asking where the CSV file should be saved. Choose the appropriate location
  5. Mail-merge file to an existing school document

If using a multi-year dataset, the export will include WebCodes for all students of the dataset.

Email WebCodes

Student email addresses must be stored within the etz file to use the email WebCodes feature. These can easily be imported and merged into the existing Student data.
  1. Navigate to Lines > Edval Choice > Publish
  2. Select the desired dataset and year level from the dropdowns
  3. Select Email WebCodes


  1. Enter the text that will appear on the student email. Basic html coding may be used. Refer to Choice: Basic html to use on forms and emails.
    The image on the left below shows text, with some html, entered into  Publish > Email WebCodes
    The image on the right shows how it appears on the email:




Warning


Important: Ensure that the text < webcode> appears in the text somewhere, as this is the placeholder for each student's individual WebCode to be inserted.
  1. Enter the Reply to: email address
  2. Select to Send email to: all students, or select one student from the dropdown list
  3. This feature may be tested prior to sending to students to check formatting. Select Test using a sample student with email and enter the email address the test email should be sent to
  4. Send

If using a multi-year dataset, emails will be sent to only the year level selected.

Text used in this example, which may be copied, pasted and edited if desired:

<b>STEP 2</b>: Enter the following WebCode:  <webcode><br/>
<b>STEP 3</b>: Select subjects you want, in order of your PREFERENCE (Important).<br/>
<b>STEP 4</b>: Click <b>Submit</b>.<br/>
<b>STEP 5</b>: Print your form, have it signed by parents / carers and return to Front Office.
