In order to use the Equipment Booking feature in Timetable Daily, you must first set up the equipment data in your etz file and then sync the etz file to Timetable Daily.
Setting Up Equipment Data in E10
Go to Rooms > Equipment Data
Once you are in this screen, you will see an empty chart.
Add the required information, such as Code, Asset#, Type and Notes as shown below:
Creating an Equipment Booking in Timetable Daily
There are two ways to create an equipment booking in Timetable Daily: via Daily > Equipment booking or via a teacher timetable.
Method One via Equipment Booking
Go to the Daily drop down menu and select Equipment Booking:
In this screen, you will see the equipment listed that is available for the selected date and time. If you are unable to see a specific piece of equipment, that equipment is not available at the specific time chosen.
On the right hand side, you will see a Period box. Select the time you would like to make an equipment booking and, provided the equipment is available during that time, you will see it in the list as shown below:
To book the desired equipment, click on the word 'Book' at the end of the row for the equipment you have chosen. The following window will open:
Select the Teacher, add a comment if needed, then save the booking.
You will then notice that the equipment you have booked will no longer be visible on the list for the selected date and time.
A handy function on this page is the Out of Hours Booking as seen on the right hand side of the page in the 'Actions' panel.
When you click this, a window will open as shown below:
When selecting a time, you can click in the box and adjust the time manually by typing in the time. Please be sure to use 24 hour timing.
After you have chosen the date and time, select the teacher and the equipment required, add a note if needed, then press save.
The only place you will be able to see Out of Hours Bookings is on the Equipment Booking History report. You will not be able to view it in the timetable.
To access this report, go to the Daily drop down menu, then the Reports menu, and select the Equipment Booking History Report as shown below:
Once an equipment booking has been made, it cannot be deleted or edited. Any required modifications must be communicated to the relevant administration or equipment management team for review and necessary action.
Method Two via Timetables
The second method of creating an equipment booking is via the teacher timetable.
Navigate to the timetable by going to View > timetables.
Hover your mouse over a specific class, click the 3 dots that appear then click 'Book equipment' as show below:
Once you click this, the same box will open as per making a booking through the Equipment booking page.
After you have created an equipment booking, you may either Edit the booking or Delete it by going to the options menu on the class the booking was made on:
