TABLE OF CONTENTS

There are a variety of reports available for the Daily Organiser or Administrator to gather data on casual teachers, covers, events,  absences, rooms, equipment and students.  All reports can be found via Daily > Reports and all are exportable as PDF or csv formats. Filters are available to refine the data in each report including date range, teacher and cover type.



Casual Reports

Casual Invoices

An invoice can be produced for any casual teacher over a selected date range. Here is an example of an invoice.

The budget and notes columns do not contain any calculated data. They are additional columns in which schools can enter data manually after printing. 

Casual Requests

This report will display data related to the Casual Request Functionality.  It will give the number of requests sent over the selected date range and will give the number of casuals who have accepted these requests.


Casual Sign-on

This report is designed to assist in recording the activity of casual staff and ensuring they sign off on their hours worked. The report can be run over any date range. Select Generate > Casual sign-on sheet to produce a printable PDF.

Casual Statistics

The report is designed to assist in the accounting for the use of casual staff. It can be run over any date range and shows which periods each casual teacher covered on each day.


Event Reports


Events

This report lists the events that have been created for a selected date range. It can be filtered to show only a selected teacher or group of teachers. Data can be sorted by Event name, type of event, date from, date to, students and description. 


Event Room Changes 

This report lists the room changes that have occurred as a result of events being scheduled in the listed rooms for the selected date range. Data can be sorted by any column. 


Students attending event

This report will list the students  attending the selected event on the selected date. It includes the student code, name and year level as well as an 'Attendance' column for manual roll marking.

To run this report go to Daily > Reports > Students attending event.

  1. Select the required date from the date selector.
  2. Select the event from the Event filter
  3. The report will display the name of the event, the date of the event and the teachers on the event in the report header
  4. The Attendance column will not be populated but is made available for manual roll marking on the printed report.
  5. The report can be printed as a PDF or can be exported to Excel.


Absence and Covers Reports


Staff Absences

This report can be run over any date range and can be filtered to show data for particular staff. The ability to include events is available.

Data can be sorted via most of the columns and the report can be exported to Excel as a csv file or printed as a pdf document.


Covers

This report shows the list of covers over a selected date range. The type of cover and the amount of credit counted is displayed. 


Data can be sorted by any column and can be filtered by Teacher or Type or by On-call covers. The addition of the room column provides an opportunity to use this report to communicate covers over multiple days.


The ability to generate a Cost Savings report is also available.


Statistics (Absences and Covers)

This report allows the Daily Organiser to keep track of the absences and covers for all teachers, both permanent and casual.

In the above example for the selected date range, Mabel Aarons has received 1 extra with a credit of 0.8. Carla Abbot has been given 1 extra and 1 in lieu, covering for 100 minutes.  


Richard Allen has received 1 underload cover and was absent for 1 day due to a commitment with the Public Service Association. 


The filter 'View only teachers with data' when selected, will hide all teachers who have not had any covers or absences for the selected date range

Teacher Covers Summary

This report provides a summary of the number and type of covers for teachers over a selected date range. In the example below, Gemma Wilkins has been given an underload cover on 25/3, a Yard duty cover on 26/3 and an Extra on 30/3. The filter 'View only teachers with data' when selected, will hide all teachers who have not had any covers over the selected date range.



The Paid Covers report, which is used by Irish schools, can be filtered by teacher name and will give the following information over the selected date range:

Room and Equipment Reports


Room Availability

This report lists all rooms that are available in each period within the selected date range. The default date range is for two weeks starting with the current date but can be changed to any two week range. This report takes into consideration room bookings, room swaps and events so that the unavailability is reflective of the current daily status for all rooms. A filter enables periods to be selected so that room availability is displayed across the date range for the specified periods only.

Room Booking History

This report is designed to assist all staff to see all the room bookings in the system over a selected date range. It can be filtered by teachers or rooms.

Equipment Booking History

This report is designed to assist all staff to see all the equipment bookings in the system over a selected date range. It can be filtered by teachers or equipment.

Student Changes

This report is used in conjunction with Edval Staff, when Edval Staff is linked to Timetable Daily. When the Edval Staff application is used to make changes to student classes, these changes will be listed in this report. The report is accessed via Daily > Reports > Class List Manager > Student Changes. Here is an example of the report showing which changes were made over the selected date range. Note that the report can be filtered by Staff member or student.


Other Reports


Class Lists

This screen will bring up a list of students expected to be attending a lesson, incorporating the class’s normal class-list and excursions/events. Students who are marked as away on that day are listed in the Away? column
There is a year, class and day/date drop down, which enables any list for any class in the current cycle to be selected. Class lists shown are completely ‘live’ or fully current, as all student absences and withdrawals are always shown for the date specified. Users can vary the drop downs to select a new year, a new class code, or a new day/date combination.
The example below shows several students away on an excursion on the selected date.

We don't have the functionality to bulk export all classlists, It can only be done per classlist. You can achieve the bulk export of classlist via our E10 Timetable product , please refer here for more information. 

Teaching Hours/Classes/Years (Registration)

This report shows the total teaching time in minutes for each class, throughout the entire school year.  If the required teaching time is entered in the appropriate column in the Class data screen in the timetable file, this report will highlight any shortfalls in teaching time for each subject, as shown below for 7ART6.


The first table shows the number of days each ‘cycle day’ occurs in the year. These calculations also manage instances of more complex ‘day swaps’ if users choose to run Mondays classes on a Tuesday following a public holiday for example.


The lower table shows the teaching time in hours and minutes for a class and contains information about the state requirements for that specific class in the 'Teaching time required' column, provided that this data is entered in the appropriate column in Class data in the timetable file.

 

Lesson Swaps

This reports lists any lesson swaps created using the 'Move and replace lessons' or  the 'Replace 
lessons' functions on the Covers page over the selected date range.
A 'Move and replace lessons' action results in a 'Swap' type and a 'Replace lessons' action results in a 'Replace' type.


Cancelled Classes Report.

This report lists all classes that were cancelled over a specified date range. For more information on this report please see the Cancelled Classes Report document.


Miscellaneous Covers Report

This report lists all classes covered using the options of Merge, Minimal supervision, No cover, Online lesson and Class to Library. For more information on this report please see the Miscellaneous Covers Report document.
