How to: Use E10 Study Classes

The Study roster option is designed to send students with gaps in their timetables to a study class. Rules for attending study classes can be set, so that e.g. Yr12 students can go home early if the study period is last period, or arrive late if the study period is first period.  Students from different year levels can be combined into one study class roll or kept separate.


The 'class lists' are done on a period by period basis.  The list of students assigned to each study period is always kept in sync with the student's subject selection and modifications to the timetable, automatically.  (In fact, there is no list stored internally - the list is always computed as needed on the basis of the other information).  However, any student with no class membership information, e.g. newly enrolled students, will not appear in any study class.


The study periods are created the first time this option is entered.  This feature can be disabled in Step 1.  If there is a period on which all students are occupied, there will be no study period created.  


Note that if a student's class membership is changed to create a need for a study period, you must enter this screen to sort that out; and conversely if a student's class membership is changed so there is no longer a need for a study period, the study period will appear on the teacher's timetable and the room's timetable until you re-enter this screen.


Study groups can be split into smaller classes and small study classes can be merged into larger classes.  

  

Things to consider before you start:

  • Is there to be one Study roll to hold all students or are the students in different years to be on separate rolls?
  • What rules govern the requirement to be in a study class?  Can the students come in late if they do not have a class in first period or before Recess and can the students go home after their last period of the day or after lunch?  (This saves on supervision.)
  • Where will these students go?  Library?  Classroom?
  • Who will supervise the students?  Librarian?  Roster of teachers?



Gaps in the roster indicate that all students for the nominated year levels are in a normal class, so no study class is required that period.


Select (left mouse click) a study class in a particular period and type T or R to display a list of options to manually staff or room the class.  Alternatively, see options below to auto staff and room all classes at once and to manually staff from a list.

Step 1: Study rules



Set up rules to determine when Study classes will be created.  Which years are involved and which years can have combined study periods.  Generally Yr7-10 would not be expected to attend study classes.  Yr11 and Yr12 would, and could also be scheduled separately or together for their study periods.  Adjustments to these rules may be made at any time.


The drop-down rule options for each year are:

  • Don’t need to go to study classes 
  • Must go to all study classes 
  • May go home last period 
  • May go home last period or arrive 2 nd period 
  • May go home after lunch (*if no more classes) 
  • May arrive 2 nd period (if no P1 class) 
  • May go home last period or arrive in recess (*) 
  • Must start at school but go home after last lesson 
  • Need only attend first-to-last lesson 
  • n/a 


The difference between “Don’t need to go” and “n/a” is that “n/a” means that gaps must not exist (e.g. with junior students), whereas “don’t need to go” means that gaps may exist but students can do what they like (e.g. Yr12).

There is also a difference between the words 'period' and 'lesson'.  If a school has a 6-period day, then 'last period' is period 6.  A student may only have had classes in periods 1, 2 and 3, so 'last lesson' occurs in period 3.


Choosing any radio button, other than the first to disable, ensures Study classes will be automatically created for the year levels for which options are selected.



There is one study class created per rotation per year level selected.


 

 

Step 2: Study loads


If all students are to go to the Library, then you could just give the whole supervision load to the Librarian.

Assign the number of study period supervisions that you want to any or all of your teachers.  You are able to see whether or not the teachers are underload or overload in this screen.

Name:Teacher name
Faculty:Teacher's faculty
Num:How many duties can they do? This figure is the number of periods per cycle multiplied by the number of rotations, e.g. 1 duty per week in a 2-week timetable with 3 rotations would be '6'.
Left: How many duties can they do (remaining over all rotations)?
TeachBal:The Balance of this teacher's teaching load for the current rotation. If the teacher was allocated less teaching periods than their maximum as specified in "Teachers > Teacher data", then this will show up as a positive amount in this column. Similarly, teachers allocated over their maximum show up as a negative (green) balance.


The columns obey the formula:  Num - Assigned = Left, where 'Assigned' is not displayed. 

The 'TeachBal' column is included only as a rough guide as to what 'Num' you want to assign them. We don't currently have the ability to specify per-rotation limits on study periods, only per-year limits.

The only thing you can change here are the entries in the 'Num' column.


 

Step 3: Auto staff 

 
 

A dialog box appears asking about roster parameters.



 

Step 4: Manual staff 


This is similar to the Duty Roster screen.  Drag and drop to move teachers around the study period supervision roster.  Drag a teacher from the unassigned list at the bottom to a particular period.  If a teacher is already on that class, they will be moved (swapped out) to the unassigned list.


Step 5: Auto room 

 
 
Automatically assign rooms to each study period.  Manual re-rooming must be done in one of the timetable views or from the Study roster using R.




Viewing study class lists 

Study classes are dynamic and will change when a student changes or drops a subject.  

Class lists can be printed or exported to csv.

To see a class list on the screen, go to Teachers > Study roster > Show roster ctrl-F4.

Double click on a particular class to see the class roll.


Splitting a study class 

Study classes can be split into a maximum of 4 smaller study classes.

  • In the study roster, right click on the existing Study class and select Split.
  •  Double click on the original study class. 
  •  Use drag and drop to arrange the students. 
4 Options:

 Clear:  Moves all students to Unassigned column at left. 

 
 
Auto-assign:  E10 will assign the students equally amongst the split classes.
 
 
 
 

Mischievous pairs:  These are pairs of students who should not be together in the same class.  This feature may also be used to highlight a teacher-student pair that should be separated and is useful where the teacher is also the parent.  The pairs are marked with M in the same colour circle. 
 
 
 
 

Buddy pairs: These are students who should stay together in the one class.  The pairs are marked with B in the same colour circle. 

 
 
 
 


Merging study classes

  

Study classes can be merged to form one larger class with one teacher and one room.

  • In the  Study roster, right click on the second of two Study classes in a period and select Merge. 
  • The second study class will pick up the teacher and room from the study class above it for that period. 
 

FAQs 

Q1: There are too many students in the Study class.
A1: In the study roster, right click on the study group and select Split.  A second empty class will appear directly beneath the first with no teacher or room assigned.

Double click on either study class.  A new window showing existing study class and new empty class will be displayed.  Use drag-n-drop to rearrange the students between the 2 classes.

Q2: The study class is too small to run as a separate class.
A2:  In the study roster, right click on the study group and select Merge.  The small study class will be allocated the teacher and room from the Study group immediately above in the roster e.g. Yr11 will pick up Yr12.  If no such class exists, a warning message will be displayed.

Q3: There are 2 students in a study class who must be separated.
A3:  Split the group into 2 smaller classes, as per A1, then drag-n-drop to manually separate the students.

Q4: Some of the students in the study class would benefit from extra targeted tuition.
A4: Split, as per A3.  Use drag-n-drop to move the required students.  Use Step 4: Manual staff, to allocate specific teacher to that period.
