Timetable Interviews: Event set up - Classes

This document explains each field and option in the Classes screen.

Check or uncheck classes to include or exclude them from the event. 

Split/Share

Where classes have two teachers teaching them on the timetable (either together at the same time or separately at different times), the following options are available:
  1. Select one teacher only as the teacher to be scheduled for all families to see
  2. Set both teachers to attend the interviews together (team interview)
  3. Share students between the teachers, so each family will be 'assigned' to a teacher for the purpose of the interviews
  4. Allow families to choose one or both teachers (separately) to meet with

Manually assign students to one or both teachers (families can then choose who they wish to see), or choose 'Select one per student' for auto assigning.
 

Double

Tick any classes that will require a double length interview slot.
 

Creating additional classes for Interviews

Occasionally schools may wish to create additional 'classes' for interviews purposes. These classes are in addition to the regular timetabled classes and will not necessarily be timetabled.  They would be a grouping of students linked to teachers/staff, so that families can make or request appointments. Not only that you can select Multiple teachers but you can also select any teacher that are or created in Admin>Users such us admin users, support/casual teachers etc..

There are two methods for creating additional classes;  via the 'Add custom class' button or  via the etz file and a sync.

Method 1: Adding Custom Classes

Method 2: Adding classes to the etz file

Steps:
1. In the .etz timetable file: Create an offline class. Assign students and staff.
2. Sync the .etz file to the Edval Webserver to upload the additional classes. (Refer to this document detailing the syncing process: Syncing Timetable Data for an Event).

If the Interview event has already been set up online prior to adding/removing teachers, students and classes to the .etz file, a 'yellow warning icon' will appear on the Events page to alert the Administrator to a change in data received from the ETZ file post a sync from the ETZ file to the Edval web server. 

The Administrator will also receive an email of a change of data. 

If the Administrator is confident that theses changes can be accepted, edit the Interview event, and select 'Yes, accept changes'.

Please make sure that you do not accept the changes if the Event status is Parents preference, Generate schedule and Open to book



Adding/removing a class/s and adding/removing teachers to/from a class in the ETZ file and syncing over to the Edval web server triggers the 'yellow warning icon' with an 'Accept changes' prompt.
