Timetable Interviews: Event set up - Classes: Creating Custom Classes

When interviews are required for a non-timetabled class or a specific group of students, a custom class can be created within the event set up in the Classes tab.  Once created,  families will be able to request an interview with the teachers of these custom classes. Not only that you can select Multiple teachers but you can also select any teacher that are or created in Admin>Users such us admin users, support/casual teachers etc..

Steps to Create a Custom Class

  1. When in the Classes tab of the event set up  an  'Add custom class' button will be visible.
             
  1. When this is selected, the following window will open.

  2. Give the custom class a unique code and a subject name.

  3. Select the teacher or teachers that will be attached to the custom class. Note that all teachers will be available for selection even if they do not currently exist in the event. To assign a teacher, enter the first few characters of their name until they appear in the list to select. Not only that you can select Multiple teachers but you can also select any teacher that are or created in Admin>Users such us admin users, support/casual teachers etc...

  4. Select the students who will be attached to the custom class.

    Note that only students who have been included in the event can be selected for custom classes. If a student who is not part of the Interviews event is selected, the custom class cannot be saved and a warning message will be displayed.
    Students can be selected by whole year group, letter groups, number groups or existing class groups. To select individual students for the class, select an option from the student tree on the left and then use the 'Registered event' tickbox. This will enable a tickbox to appear beside each student's name allowing students to be selected individually, by gender or by house. Note that the 'House' selection in an exclusion selection. Ticking a house will exclude all students from that house.
  5. In the example below, all of the females in Year 10 have been selected.

  6. Select 'Add' to save the newly created class. 
  7. Once a custom class has been created, it will appear in the list of classes in the 'Classes' tab. Where multiple teachers have been assigned to a custom class, the method of assigning students to individual teachers is the same as for normal timetabled classes.

Editing Custom Classes

Once a custom class has been created, an edit icon will appear at the end of the row for that class.

To edit the class details (Code, Subject, Teachers, Students), select the edit icon to open the update window.

All four fields can be edited. Click 'Update' to save the changes.
