E10 - Elective data > Courses Action: Reprocess Lines

Preamble

There are times when a school wants to take the current lines solution and experiment to see if an alternate lines solution can be found, while still meeting student class enrolments.
Scenario
Last year's Year 11 classes were generated, but students have dropped and/or changed subjects over the course of the year. The file has been rolled over and Year 11 classes promoted to Year 12 classes. School wants to see if, based on the students Year 12 subjects for the next year, can any classes be reduced while still granting students their subjects?
Perhaps there were two Chemistry classes running in Year 11, class sizes of 16 and 14 (too many for a single class), but due to students dropping Chemistry, the class sizes are now 12 and 11. The Reprocess lines function can explore running one Chemistry class only, and seeing if there are any negative results for students.

Reprocess lines set up

  1. Navigate to Lines > Elective data > Courses
  2. Create a dataset or select the relevant dataset from the drop down

  1. Go to the View menu and select 'Show advanced options'
  1. Go to the Action bar: Reprocess lines 

  1. Choose the default 'Convert course codes (recommended)' option, then 'Reprocess'.


Once the 'Reprocess lines' button is pressed, the following will occur:
  1. Courses table will be populated with ALL subjects that exist on lines in the Classes > Class data F6 screen. If any classes appear that are not needed, simply delete them by clicking in the CourseCode cell, and hitting delete on the keyboard eg Homegroup and study classes.

  2. The Lines column will populate, showing the line numbers that the classes are currently sitting on. These will need to be deleted in order to find an alternate lines solution based on the current student's classes. If any classes need to remain on particular lines, leave the Line entry in.

  3. The Students table will populate listing the enrolled class codes (so long as the classes had students in them in the Class data screen).
Once the subjects are listed in the Elective data screens, setting up all other courses data information can begin.

Generate new lines

Once the courses and student enrolments have come across, the regeneration of lines can occur.
In Lines > Elective data:
  1. Remove the entries appearing in the Lines column. This can be done for all courses, or just those that have the flexibility to move across to other lines.
  2. Check/edit all Courses fields 
  3. Check/edit Lines > Elective data > Courses > Action bar: Parameters
  4. Check/edit Lines > Elective data > Courses > Action bar: Rules and Constraints
  5. Generate lines: Lines > Elective data > Courses > Action bar: Generate lines 
  6. Analyse results: Lines > Line results

Edval Choice upload

Sometimes schools wish to upload the current student selections to the web so that students can log in and confirm, or even change, their selections. 
Edval Choice > Publish > Action bar: Upload choices from file to web
Usually this is only performed for Year 12 students, but if a multi-year dataset is set up and more than one year level's data is to be uploaded, repeat for each year.
