E10 - Setting up Support Classes

Preamble

This article explores a range of options for timetabling support staff, either through additional staff on the one class, or the creation of additional classes. The following scenarios are covered.

Team teaching: Two staff members are assigned to the one class.

Separate support class: An additional class is run for a small number of students

Withdrawal from regular class: Select students are withdrawn to an alternative class that runs at the same time.

Dedicated support unit: Separate classes dedicated to a support unit.

Dedicated year level for support staff: Creation of a dedicated year level to roster support staff to regular classes. A class is a resource that typically holds a number of students with 1 teacher in 1 room studying 1 subject.


Team teaching

A second teacher goes into a class to assist the main teacher.  

Using View > Easy sub-class entry, create a class to hold just the support teacher, with no students and no room.  This class will be linked to the main class.  The support teacher may join some or every lesson of the main class.  Add the new lessons via Year timetable or Master Grid so the support teacher will see the class on their own timetable.  Note that some data is hidden when using Easy sub-class entry. 



Separate support class

Create a separate class to hold a small group of students and a teacher who will mark that class’s roll.  Often this class is one of several for a subject that are blocked to run at the same time, using link or line.  

Add the new lessons via Year timetable or Master Grid

For example: All Maths classes run at the same time on a line or large block and an extra class is created to hold a small number of students.



Withdrawal from regular class

The support teacher withdraws some students from their core class.  

  1. Create a separate class to hold the teacher and the students. Link this class to the main class.  Add the new lessons to required periods.
  2. There is now a clash on the student's timetable.
  3. Set the support class as the priority (hides the clash) via Admins > Settings > Classes.
  4. The student will now see the Priority class where there used to be a clash.

For example: A student is withdrawn from several lessons of a regular class to receive extra tuition.  The school reports on the student’s enrolment in both the regular and the extra class.




Dedicated support unit

These classes are usually created in a separate year level.
Some schools even have several dedicated year levels - IO, IM, AU, etc.
Warning

When a 'Basic' or 'Advanced' sync is performed, the  created 'Support/SUP' year level students  will revert to their original Academic years as 3rd party systems do not support custom made year levels.
Create a Place holder class with #Per equal to the total number of teaching (white) periods, as per the Grid structure.  
Put this Place holder class on a line to ensure the structure for the year level is correct.

Each of the support classes will go on the same line as the place holder class but for fewer periods.
Some of the support classes may be linked to (run at the same time as) regular classes in other year levels.

Dedicated Year Level  for Support Staff

This option is useful for schools that have a larger number of educational support staff, such as teacher aides, Learning Support Assistants or SLSOs. The creation of a dedicated year level enables the addition of multiple instances of additional support without changing the class data in the regular Year levels.

Step 1

Create a dedicated Year level in Setup > Year levels:

Add support teachers to the teacher data screen. Schools may find it useful to prefix all support staff with an ‘S_’ to distinguish them from teaching staff and assign a specific maximum load. 

Step 3

Add classes to newly created ‘Support Year Level’ in class data. Change the number of periods to match the periods of support granted to each class (1). Link the support class to the parent class (2). Set room to ‘None’(3). Support staff can be assigned to classes either by hardcoding in class data, or later assigned through the Teachers > Faculty Timetables.
It is advisable to add a class that covers every teaching period in the grid structure to avoid getting any structural errors (4) and assign it an entry in the line column.   

Step 4

Add classes to the grid in Classes > Year Timetables by clicking and dragging from the ‘Need Period’ row. Ensure to place the class at the same time as the parent class by avoiding periods with the red ‘S’.

Once complete, the timetable file will have a dedicated year group and faculty dedicated to support staff.
